Job Description:

The Project Coordinator plays a key role in keeping the Web Experience team's work organized, on track, and moving forward. Reporting to the Project Manager, they support the daily operations of the team and work directly with web producers, designers, developers, content, and marketing partners to ensure projects for the Web Experience team are planned well and delivered on time.

Position Scope:

The Project Coordinator supports the Project Manager by creating project plans, coordinating deliverables, and providing overall project planning support across the Web Experience team's portfolio. The Project Coordinator is accountable for keeping project plans, timelines, and statuses accurate and up to date in Asana, and for supporting work that runs through Jira with development and product teams. They help troubleshoot blockers and day-to-day operational needs, and bring forward risks and process improvements to the Project Manager. They are proactive and organized and embody a blend of planning discipline, clear communication, and a problem-solving mindset.

Responsibilities

Project Planning and Setup:

  • Partner with the Project Manager to create project plans, including scope, milestones, dependencies, and timelines
  • Build and maintain projects in Asana using team templates, ensuring tasks, owners, and due dates are clearly defined
  • Help gather requirements and inputs from stakeholders at project kickoff
  • Support resource planning by tracking team capacity and flagging conflicts to the Project Manager
  • Maintain the team's project intake process, ensuring new requests are logged, sized, and routed appropriately

Deliverable Coordination and Tracking:

  • Coordinate deliverables across web production, design, development, content, and marketing teams, from kickoff through launch
  • Monitor project progress daily, following up on upcoming and overdue tasks with precision and urgency
  • Schedule and facilitate working sessions, standups, and project check-ins; capture notes, decisions, and action items
  • Prepare status updates and reports for the Project Manager and stakeholders on progress, risks, and upcoming milestones
  • Support Jira-based work with development and product teams, creating and updating tickets and keeping Asana and Jira timelines in sync

Operations Support and Troubleshooting:

  • Support the daily operations of the Web Experience team, serving as a go-to point of contact for project questions and needs
  • Help troubleshoot blockers, escalating issues to the Project Manager or appropriate teams and following through to resolution
  • Track launch readiness, ensuring reviews, approvals, and QA are completed before work goes live
  • Maintain project documentation, including briefs, process guides, and team resources
  • Recommend and help implement process improvements, Asana workflows, and templates that make the team more efficient

Preferred Qualifications:

  • 1–3 years' experience in project coordination, project management, or operations, ideally supporting a web, digital, or marketing team
  • Strong proficiency in Asana, including project setup, templates, timelines, rules, and reporting
  • Working knowledge of Jira, including creating, updating, and tracking tickets with development teams
  • Familiarity with the website production lifecycle, from requirements and design through development, QA, and launch
  • Experience creating project plans and tracking deliverables across multiple teams and stakeholders
  • Experience with AEM, Confluence, Smartsheet, or similar content and collaboration tools a plus
  • Experience in the cruise or travel industry a plus
  • Ability to manage multiple projects concurrently, adapting quickly as priorities shift
  • Strong troubleshooting and problem-solving skills, with the judgment to know when to escalate
  • Excellent written and verbal communication skills, including meeting facilitation and status reporting
  • Must possess exceptional organization and attention to detail, staying ahead of deadlines and deliverables
