Role Overview


The Project Management Officer (PMO) is a strategic leader responsible for high-level project planning, resource management, and cross-departmental collaboration. By providing structure and oversight to the project management process, the PMO ensures that projects are planned, resourced, and executed effectively, bridging the gap between Project Managers and the rest of the company. This role manages critical PMO systems, supports resource allocation, and engages in strategic communication efforts, training initiatives, and leadership meetings to drive continuous improvements in project management practices.


Schedule:


Monday to Friday from 8:30 AM to 5:30 PM EST (USA)


Your Responsibilities Will Include but Are Not Limited To:


  • Monitoring team capacity and supporting efficient workload distribution
  • Overseeing cross-departmental collaboration to ensure successful project execution
  • Preparing and presenting executive-level project reports and status updates
  • Supporting Project Managers by providing guidance, oversight, and operational assistance
  • Maintaining project databases, reporting tools, and project management systems
  • Managing and monitoring project-related support tickets and process improvement initiatives
  • Participating in requirements gathering and project discovery activities
  • Facilitating Scrum ceremonies, including sprint planning and retrospective meetings
  • Supporting project closure activities and ensuring proper documentation of completed work
  • Managing stakeholder engagement and communication strategies
  • Facilitating leadership meetings, planning sessions, and project review meetings
  • Developing, maintaining, and updating project management policies, procedures, and guidelines
  • Serving as a backup resource for Project Managers when needed
  • Maintaining project calendars, planning schedules, and organizational reporting hubs
  • Analyzing opportunities for continuous improvement and operational efficiency
  • Coordinating project intake meetings, planning sessions, and alignment meetings with stakeholders
  • Leading project planning, governance, and resource allocation activities across multiple initiatives
  • Assigning Project Manager support based on project requirements and team capacity
  • Maintaining project management templates, documentation, and governance standards
  • Managing project resources and supporting automation processes for team and project setup
  • Monitoring project progress, timelines, risks, and deliverables
  • Facilitating project kickoff meetings and stakeholder communications
  • Collaborating with technical teams to improve project workflows and system integrations
  • Conducting quality assurance reviews to maintain high standards of deliverable quality
  • Preparing and delivering training sessions related to project management practices and procedures


What We’re Looking For:


  • At least three to five years of experience managing projects directly, project program coordination, managing enterprise-level projects
  • Strong understanding and proven experience in agile, scrum, traditional, and hybrid methodologies
  • Bachelor's degree in Business Administration (or related)
  • Project Management Professional (PMP) certification
  • Agile Certified Practitioner preferred (or proven experience)
  • Advanced proficiency in PM tools (Microsoft Planner, Azure DevOps, Excel, or equivalent platforms)
  • Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
  • Quiet, distraction-free remote work environment
