Job Description:

We are hiring a full-time Project Manager to support a long-standing POS and payment services company. This role is heavily focused on keeping the day-to-day office running, managing customer communication, staying on top of internal tickets, supporting onboarding, and making sure issues actually get resolved. This is not a role for someone who needs to be constantly checked on. The ideal candidate is proactive, independent, trustworthy, and comfortable taking ownership of day-to-day operations. You’ll communicate directly with customers, including customers who may be frustrated or experiencing technical issues, so patience and clear spoken English are extremely important. Full-time. Fully remote. Must be ENGLISH-SPEAKING.

Hours: 9am–6pm EST with a one-hour lunch break.

Salary: $2,000/mo

Key Responsibilities:

  • Manage and triage the company inbox, responding directly when appropriate and ensuring outstanding items are followed through to completion.
  • Own and maintain Monday.com tickets, keeping statuses, notes, owners, and next steps accurate.
  • Answer inbound customer calls and serve as a primary point of contact for day-to-day questions and requests.
  • Handle initial troubleshooting for POS, payment processing, and other technical issues, escalating when necessary.
  • Communicate patiently and professionally with frustrated customers and help drive issues toward resolution.
  • Support new client onboarding, including gathering paperwork, confirming required information, and moving customers through the setup process.
  • Follow up with customers and internal team members as needed to ensure open requests are completed.
  • Manage scheduling and calendar-related administrative tasks.
  • Maintain and update the company’s marketing calendar.
  • Use internal SOPs, training videos, and AI/Copilot resources to independently find answers and learn company processes.
  • Help document and improve processes as you become familiar with recurring customer and operational issues.
  • Support program and system integrations as needed.
  • Take administrative and operational work off the owners’ plates so they can focus more heavily on growing the business.

Key Qualifications:

  • 3+ years of experience in project coordination, office management, operations, customer support, or a similar role.
  • Strong spoken English with clear pronunciation and the ability to communicate naturally and confidently over the phone.
  • Experience working directly with customers and handling customer issues from initial request through resolution.
  • Comfortable troubleshooting technical problems and learning unfamiliar software or systems.
  • Experience with Monday.com or similar project/task management platforms.
  • Strong working knowledge of Outlook, Microsoft Office, and Excel.
  • Highly proactive and able to identify what needs to happen next without waiting for constant direction.
  • Patient and level-headed when dealing with upset or frustrated customers.
  • Strong follow-through and willingness to follow up as many times as necessary to get something resolved.
  • Trustworthy and comfortable taking significant ownership of daily office operations.
  • Must own and be able to use a working computer with high-speed internet.
  • Must be ENGLISH-SPEAKING.

Nice to Have:

  • Experience in POS systems, credit card processing, merchant services, or payments.
  • Background in financial services or another transaction-heavy industry.
  • Previous sales experience.
  • Familiarity with 3CX or similar business phone systems.
  • Experience onboarding customers in a financial services, payments, or technology environment.
