Position Summary

The Project Manager plans, directs, leads, and coordinates projects to ensure goals and objectives are accomplished within established scope, schedule, budget, and quality expectations. This role creates visibility and accountability throughout the project lifecycle by coordinating project planning, project controls, client communication, risk management, financial performance, documentation, and closeout activities.

Why This Role Matters

Strong project management protects MSB's client relationships, financial performance, and ability to consistently deliver high-quality work. This role helps project teams stay aligned, identifies risks before they become larger issues, and provides leaders and clients with the information needed to make timely decisions.

What You'll Own

At MSB, project ownership means more than tracking tasks. It means creating the structure, communication, and accountability necessary to keep work moving, risks visible, and commitments on track from project initiation through closeout.

Project Initiation & Planning

· Review project initiation documentation to determine scope, time frame, funding limitations, staffing requirements, deliverables, and allocation of available resources.

· Coordinate estimates, requirements documentation, Statements of Work (SOWs), Requests for Proposal (RFPs), and other documentation required to begin project planning.

· Develop and coordinate project plans that establish deliverables, schedules, resource requirements, responsibilities, communication methods, and project controls.

· Ensure project budgets are properly phased and established within Unanet and applicable document management systems.

· Partner with Department Managers and Team Leads to define project responsibilities, resource assignments, and appropriate levels of authority.

· Initiate and lead project kickoff meetings to align project personnel and clients on tasks, deliverables, schedules, communication methods, and other project details before work begins.

Project Execution & Coordination

· Provide project leadership and coordination throughout the project lifecycle.

· Maintain regular communication with project personnel regarding deliverables, deadlines, priorities, responsibilities, and overall project performance.

· Lead scheduled project meetings to obtain status updates, review progress, assess risks, resolve issues, and establish next actions.

· Coordinate activities across departments and disciplines when successful project execution requires involvement from multiple teams.

· Maintain appropriate project documentation and ensure critical project information is accessible to relevant stakeholders.

Schedule, Budget & Project Controls

· Monitor project schedules, budgets, labor utilization, milestones, and overall project performance.

· Utilize earned value management techniques and other project control methods to evaluate project performance and identify schedule or budget concerns.

· Identify trends, deviations, and risks before they materially affect project delivery.

· Communicate schedule deviations, potential budget overruns, resource concerns, project change orders, and other risks to Project Controls, Department Managers, and appropriate stakeholders.

· Work with project leadership to develop corrective actions when projects begin deviating from established plans.

Risk & Change Management

· Proactively identify project risks, constraints, dependencies, and potential barriers to successful project delivery.

· Facilitate discussions with project personnel to evaluate risk and establish appropriate mitigation strategies.

· Escalate significant project concerns when resolution requires leadership involvement.

· Ensure changes to scope, budget, schedule, resources, or client expectations are appropriately documented and communicated.

Client & Stakeholder Communication

· Create and implement a project communication plan that supports timely execution and informed decision-making.

· Provide clients with project status, budget, schedule, deliverable, and risk updates at mutually agreed-upon intervals.

· Serve as a consistent point of coordination among project personnel, Department Managers, Project Controls, clients, and other stakeholders.

· Communicate project challenges professionally and transparently while helping identify practical solutions.

Project Documentation & Closeout

· Ensure required transmittals, completion letters, and closeout documentation are prepared and sent to the client.

· Confirm project deliverables and administrative requirements are appropriately completed before project closeout.

· Collaborate with Accounting to help ensure outstanding Accounts Receivable items and other financial matters are addressed.

· Support effective project closeout, including documentation of outstanding items, lessons learned, and relevant project information.

Decision Making & Judgment

Recognize project risks, interpret project performance data, recommend practical corrective actions, and exercise sound judgment when balancing scope, schedule, budget, resources, client expectations, and business priorities. Escalate concerns appropriately while maintaining ownership of follow-through and resolution.
