We are seeking an experienced and proactive Project Manager (Administrative) to oversee administrative operations, coordinate cross-functional team initiatives, and drive internal process improvements. In this role, you will be responsible for planning, executing, and tracking key administrative projects—ranging from standard operating procedure (SOP) development and master data governance to internal reporting and leave workflow management.
You will act as the operational bridge between management, team leaders, and technical leads, ensuring all projects are delivered on time, within scope, and according to high quality standards.
Key Responsibilities & Scope of Work
1. Project Planning & Execution
-
Define project scopes, goals, deliverables, and timelines for administrative, operational, and organizational initiatives.
-
Create and maintain detailed project plans, schedules, and resource allocations using project management tools (e.g., Asana, Trello, ClickUp, or Monday.com).
-
Track milestones, monitor progress, and remove roadblocks to ensure on-time delivery across multiple concurrent projects.
2. Process Standardization & Documentation
-
Oversee the creation, standardization, and maintenance of Standard Operating Procedures (SOPs), process maps, and training materials.
-
Work with subject matter experts to document administrative workflows, escalation protocols, and operational handbooks.
-
Establish version-control conventions, documentation review schedules, and governance frameworks for company knowledge bases.
3. Operational & Master Data Governance
-
Coordinate initiatives related to employee data management, attendance tracking, leave/vacation reconciliation, and administrative audits.
-
Ensure data consistency, accuracy, and proper permissions across administrative tools, databases, and spreadsheets.
-
Collaborate with HR, finance, and operations teams to streamline internal record-keeping and data intake workflows.
4. Cross-Functional Coordination & Communication
-
Serve as the primary point of contact for internal stakeholders, team leads, and external vendors on operational projects.
-
Facilitate regular project status meetings, prepare agenda items, capture action items, and ensure accountability across teams.
-
Prepare daily, weekly, and monthly progress reports and executive dashboards for senior management.
Required Qualifications & Technical Skills
-
Experience: 3 to 5+ years of proven project management experience, specifically focused on business operations, administrative systems, HR operations, or process optimization.
-
Project Management Tools: Strong proficiency with modern PM software (Asana, ClickUp, Monday.com, Jira, Trello, or similar).
-
Document & Workspace Productivity: Expertise in Google Workspace (Google Docs, Sheets, Forms, Slides) and Microsoft 365.
-
Process Mapping & Documentation: Experience creating clear SOPs, workflow diagrams, and operational guides (using tools like Lucidchart, Miro, or Notion).
-
Data Organization: Solid understanding of data hygiene, reporting, spreadsheet management, and basic database concepts.
-
Soft Skills: Exceptional organizational ability, time management, active listening, and strong written and verbal communication skills.
Preferred / Nice-to-Have Skills
-
PMP (Project Management Professional) or CAPM certification.
-
Basic familiarity with automation and CRM tools (e.g., GoHighLevel, Zapier, Make).
-
Experience working in a fast-paced, remote environment managing global or distributed teams.
