Amplify is a fast-growing technology company powering mission-critical workflows across the US healthcare ecosystem. Our award-winning SaaS products, iFax and Fill, help healthcare organisations securely send, receive, and automate document workflows with enterprise-grade compliance and reliability.
As we scale, our Sales, Customer Success, Marketing, Revenue Operations, Product, and Engineering teams are running an increasing number of strategic initiatives at once. Success now depends on delivering the right work, in the right sequence, with the least possible manual overhead.
The Opportunity
This is not an administrative coordinator role.
At the core, we need someone who can own end-to-end delivery of cross-functional projects and programmes — planning, sequencing, governance, and stakeholder management — and run day-to-day operational coordination without needing to be chased or managed. This is a Project Management and Operations role first, but you must also be someone who can actually build things with AI — real internal tools, apps, and automations, not just prompts for drafting.
You will become the operational backbone of the organisation: the person who keeps initiatives moving, holds owners accountable, and steadily makes coordination cleaner and faster.
What You'll Own
Programme & Project Delivery
- Own end-to-end delivery across multiple strategic initiatives simultaneously.
- Develop project plans, milestones, roadmaps, and delivery schedules; manage sequencing so workstreams run in the correct order.
- Drive projects from initiation through implementation and formal closure.
- Ensure delivery stays aligned with business priorities.
Dependency, Risk & Critical Path Management
- Identify, map, and actively manage dependencies across departments; own critical path management to prevent downstream delays.
- Maintain company-wide RAID logs (Risks, Assumptions, Issues, Dependencies) and resolve blockers before they hit timelines.
- Proactively flag scheduling conflicts and delivery risks before they become problems.
Project Governance & Quality Oversight
- Define scope, ownership, milestones, deliverables, and success criteria for each initiative; control scope creep through structured change management.
- Maintain and enforce SOPs; conduct ongoing quality reviews of operational outputs across departments.
- Ensure decisions, approvals, and changes are documented and current.
Stakeholder Management & Communication
- Coordinate projects across Sales, Customer Success, Marketing, Revenue Operations, Product, Engineering, Operations, and Leadership.
- Run project meetings with clear agendas, actions, and ownership; hold stakeholders accountable for agreed deliverables.
- Comfortably challenge unrealistic timelines and push back on senior stakeholders when needed, while proposing practical solutions.
Operational Coordination & Reporting
- Maintain operational hygiene across Basecamp, Google Workspace, and internal tools; ensure meeting minutes, decisions, and follow-ups are documented and acted on.
- Provide leadership with clear programme visibility: weekly executive reports, delivery dashboards, milestone tracking, and risk reporting.
- Leadership should never have to chase a project update.
AI & Automation Engineering
- Build real internal tools, apps, and automations with AI — not just prompts for drafting — that remove repetitive manual steps from your own work and the teams you support.
- Use AI coding assistants and no-code/low-code platforms (e.g. Claude Code, Replit, Bubble, Retool, Glide) plus automation platforms (Zapier, Make, n8n) to ship working tools end-to-end, from idea to something people actually use.
- Comfortable enough with basic scripting/logic (or AI-assisted coding) to build and adjust simple internal apps without needing an engineer for every change.
- Document each tool or workflow you build clearly enough that someone else on the team can pick it up and run it.
- Continuously look for the next manual, repeatable process worth turning into a tool or automation, and bring proposals to the COO.
What We're Looking For
Required
- 3+ years managing complex, concurrent projects or programmes, in operations, project management, executive operations, chief of staff, or similar coordination roles.
- Strong dependency, RAID, and stakeholder management experience; excellent project planning and organisational ability.
- Proven ability to run operational coordination end-to-end — tracking action items, chasing owners, and keeping initiatives moving without close supervision.
- Comfortable challenging unrealistic timelines and pushing back on senior stakeholders, while proposing practical solutions.
- Demonstrated experience building real AI-powered tools, apps, or automations — e.g. an internal tool built with Claude Code/Replit/Bubble/Retool, a Zapier/Make/n8n workflow, or a small app that solved a real operational problem. This is a required, hands-on skill, evaluated with real examples (links, screenshots, or a walkthrough).
- Excellent written and verbal English; strong documentation discipline (SOPs, meeting notes, project trackers).
- Comfortable working remotely across time zones with minimal supervision.
Technical Experience
- Project management platforms: Basecamp, Jira, Asana, Monday.com, ClickUp, or Teamwork.
- Working understanding of Agile, Kanban, RAID, RACI, Critical Path Method, and Change Control.
- Able to build simple internal tools and apps with AI assistance (no-code/low-code platforms such as Replit, Bubble, Retool, or Glide, and/or AI coding assistants), in addition to automation platforms like Zapier, Make, or n8n.
Nice to Have
- SaaS and Revenue Operations experience.
- CRM implementation or migration experience (HubSpot or Salesforce).
- PMP, PRINCE2, Agile/Scrum, or equivalent certification.
- Background supporting C-level executives.
