Project & Operations Coordinator (Remote — Full-time)

PulseTheta is a Germany-based systematic trading and financial-technology company. We run systematic, rules-based strategies in the stock and options markets, and we're building the data-driven analytics platform and tools around them. We're a small, fast-moving team, and you'll work directly with the founder — your work will have direct, visible impact.

We're looking for a highly organized Project & Operations Coordinator to keep everything running and moving.

What you'll do

• Keep projects moving: track tasks, chase follow-ups, and make sure nothing falls through the cracks
• Coordinate between the founder, external partners, and vendors — clarify open points and close loops
• Own documentation: maintain clean, structured notes, project records, and internal knowledge in Notion
• Draft and manage communications (email, partner outreach, status updates)
• Help prepare and maintain business materials (decks, one-pagers, trackers)

What we're looking for

• 3+ years in project coordination, operations, executive support, or a Chief-of-Staff-style role
• Excellent written and spoken English (C1+); clear, professional communicator
• Notion power user; strong with task/calendar management tools
• Self-directed and reliable — you follow through without being reminded
• Comfortable with numbers and detail; able to maintain financial and operational records accurately

Nice to have

• Exposure to fintech, asset management, or SaaS
• Experience with CRM / outreach tracking
• Familiarity with Canva or Figma for light deck/document work

Setup

• Fully remote, full-time
• Minimum ~4 hours of daily overlap with Central European Time (Germany)
