Wise Management Services provides infrastructure services to the Wise Group through people and culture, IT, finance, operations, payroll, property, design and development services.

You’ll be part of our Information Services team, within Wise Management Services. Wise Management Services is a unique infrastructure services company supporting one of the largest non-government organisations in Aotearoa – The Wise Group. The Group provides a variety of mental health and wellbeing services delivered by over 1,700 people nationwide. Each part of the Group has its own unique offering, culture, and requirements, so there are always new and interesting challenges to solve.

We’re looking for a Project Planning Analyst who thrives on bringing structure and clarity to complex work. You’re a natural organiser, a confident communicator, and someone who can keep a team on track, and keep the team vibe high. You’re collaborative, improvement-focused, and love helping others succeed.

You’ll enjoy working with a wide range of people who care passionately about the social sector and the people we support. You’ll be comfortable working in a fast-paced, highly collaborative environment and have a knack for balancing the big picture with the finer details.

What you’ll do...

We deliver a diverse pipeline of work that is increasingly AI-enabled. From major change initiatives to continuous improvements, we leverage process, tech, and data to help teams do their best work.

Coordinate our work programme. Your role will be to coordinate our work programme and champion our ways of working, helping create the structure, rhythm and clarity that keeps work moving effectively from request through to delivery. You'll help project teams and partners understand how we work, set them up for success, and contribute to continually improving how we deliver:

  • Keeping work requests moving through our process
  • Keeping our tools and ways of working up to date and well understood
  • Ensuring stakeholders have visibility of our progress, planning, and road map
  • Helping project teams and partners understand our ways of working and setting them up for success

Support and drive work. For individual pieces of work, you'll create the structure and momentum that keeps the work moving and a team on track. You'll bring clarity to what needs to happen, help the right people work together at the right time, and adapt the plan when things change. You'll work within project-focused teams across Information Services and in partnership with the wider organisation by:

  • Bringing structure and clarity to complex projects and workstreams
  • Creating and maintaining plans, milestones and an operating rhythm that keep the team moving
  • Connecting people, coordinating activity and keeping everyone focused on the right work at the right time
  • Tracking progress and risks, surfacing issues early and adapting the plan to maintain momentum
  • Facilitating the team to make or escalate decisions, follow through on actions and keep delivery moving to achieve outcomes
  • Contributing hands-on alongside the team - workshopping, researching, testing, problem-solving, or helping prepare communications and guidance when the work needs it

This is a full-time position working 40 hours per week, based at our beautiful head office in Hamilton East. While we do have flexible working options available, working as part of a highly collaborative team and with our business partners, it’s not possible to fulfil this role remotely.

What you’ll bring...

You’ll have experience in:

  • A project/scrum team or planning/analyst role
  • Managing or coordinating a team or workstream
  • Process and technology change implementation
  • Project, business improvement, and agile methodologies
  • MS Office, JIRA or similar planning tools
