Job Responsibilities:

- Maintain task boards in a project management tool such as Jira, recording approved assignments, milestone dates, progress updates, and links to supporting materials.
- Coordinate project meetings by checking participant availability, circulating agendas, preparing current task summaries, and confirming that relevant contributors receive meeting details.
- Capture meeting decisions and action items, confirm responsible owners and due dates, and distribute concise notes for review by the project manager.
- Follow up with task owners before agreed deadlines, request progress updates, and highlight dependencies that could delay another contributor's next step.
- Escalate missed milestones, conflicting priorities, and unresolved questions to the project manager, including the current status and the decision needed to proceed.
- Log requested changes, organize supporting information, and update plans only after the project manager confirms approval through the established change control process.
- Prepare progress summaries and coordinate completion checks, confirming outstanding actions and acceptance updates before organizing the final handoff to the receiving team.
- Maintain quality through accurate task details, timely updates, complete meeting notes, and consistent follow-up; review corrections with the project manager and apply feedback.
Qualifications:
- High school diploma or equivalent.
- About 1-2 years of project support, coordination, or related administrative experience preferred.
- Familiarity with task boards and a project management tool such as Jira, including assignment updates, comments, and milestone tracking.
- Basic understanding of Agile Methodologies and Waterfall Project Management, with the ability to follow the team's chosen delivery approach.
- Working knowledge of a Work Breakdown Structure and the Critical Path Method sufficient to recognize task relationships and flag scheduling concerns.
- Familiarity with Project Management Office practices and change control, including approval steps and clear responsibility boundaries.
- Clear written and verbal communication for concise meeting notes, courteous reminders, progress summaries, and questions that resolve missing details.
- Access to a reliable computer, high-speed internet, and a quiet private workspace; availability for the 40-hour weekly commitment and agreed working days and shift times.
- Authorization to work in the United States.
Perks & Benefits:
