We're looking for an organised and proactive Property & Maintenance Administrator to support the smooth running of our retail estate.
Working as part of our retail team, you will play a key role in coordinating maintenance activities across our stores, ensuring repairs are completed efficiently, suppliers are effectively managed, and store teams receive a high level of support and communication.
This is a varied role that combines maintenance coordination, supplier management, financial administration and property project support. It's an excellent opportunity for someone who enjoys problem-solving, building strong relationships and keeping multiple priorities moving forward in a fast-paced retail environment.
Key Responsibilities
- Manage the maintenance ticketing system and shared mailbox, ensuring requests are reviewed, prioritised and progressed efficiently.
- Coordinate maintenance and repair works with stores, suppliers and contractors, arranging access and scheduling works as required.
- Obtain quotations and support the review and approval process for maintenance expenditure.
- Track maintenance requests through to completion, ensuring all required documentation and reporting is received.
- Carry out store inspections, documenting findings and monitoring follow-up actions.
- Coordinate planned preventative maintenance programmes, servicing and compliance inspections.
- Maintain accurate records for equipment, warranties, service contracts, compliance certificates and inspection reports.
- Support Health & Safety activities across the property portfolio, working closely with relevant stakeholders.
- Raise purchase orders, process invoices and maintain accurate expenditure records and trackers.
- Support supplier onboarding and maintain contractor records and documentation.
- Produce regular reports on maintenance activity, expenditure, open requests and overdue actions.
- Support property projects including store openings, refurbishments and improvements.
- Assist with lease administration and maintaining key property documentation.
- Provide administrative support for warehouse and logistics activities where required.
- Build effective working relationships with store teams, Area Managers, suppliers and internal stakeholders.
About You
We're looking for someone who is highly organised, detail-oriented and enjoys working collaboratively to deliver great service.
You will ideally have:
- Previous experience in an administration role, preferably within property, facilities, maintenance or retail operations.
- Strong organisational skills and the ability to manage multiple priorities.
- Excellent attention to detail and a high degree of accuracy.
- Strong written and verbal communication skills.
- Experience raising purchase orders, processing invoices and maintaining financial records.
- Confidence using Microsoft Office applications, particularly Outlook, Excel and Teams.
- Experience using maintenance management, facilities management or helpdesk systems would be advantageous.
- A proactive and solution-focused approach with the ability to work independently and use initiative.
- The ability to maintain accurate records and handle confidential information appropriately.
Culture
- Embrace and demonstrate the Mulberry values and behaviours: honesty, dynamism, and a community-oriented spirit.
- Support Mulberry to deliver an inclusive culture, through behaving in a way that is open-minded and respectful towards others, and understanding that your views, opinions, and experiences may not always be shared by your colleagues.
- Act as an ambassador for Mulberry and communicate positively about the brand.
Sustainability
- As a certified B Corp, we are committed to using business as a force for good. You’ll be encouraged to incorporate environmentally and socially responsible practices into your work, supporting our Made to Last strategy across Climate, Circularity, and Community.
- Help foster a culture where diversity is celebrated and every individual feels valued, respected, and included. Champion equity, empathy, and understanding in all interactions - internally and externally.
