JOB SUMMARY: We are seeking a highly organised and methodical Purchasing Officer to support the day-to-day purchasing and procurement activities of the organisation. The role will be responsible for processing purchase requisitions and purchase orders, coordinating with suppliers, following up deliveries, maintaining accurate purchasing records, and resolving purchasing and invoice-related queries. Working closely with researchers, internal staff, suppliers and the Finance team, the successful candidate will provide responsive purchasing support in a high-volume administrative environment while ensuring purchasing activities are completed accurately and in accordance with established policies and procedures. KEY RESPONSIBILITIES: Support the end-to-end purchasing process, including purchase requisitions, purchase orders, supplier coordination and delivery follow-up. Process purchase requisitions and create purchase orders accurately and within required timeframes. Follow up outstanding purchase orders with suppliers and ensure goods and services are delivered as required. Liaise with suppliers and internal stakeholders to resolve purchasing, order and delivery issues. Respond promptly and professionally to purchasing enquiries from researchers and other internal staff. Assist with supplier onboarding and ensure required supplier information and documentation is complete and up to date. Maintain accurate supplier details, purchase orders and purchasing records within the organisation's ERP or purchasing system. Work closely with Finance to reconcile purchasing transactions and resolve invoice and payment-related queries. Ensure purchasing activities comply with established purchasing policies, procedures and approval requirements. Provide high-volume day-to-day purchasing and administrative support to the team. Monitor outstanding purchasing activities and proactively follow up on incomplete or delayed actions. Identify purchasing issues, discrepancies or process gaps and recommend practical solutions where appropriate. Maintain accurate documentation and ensure purchasing records are complete and properly maintained. Build positive and professional working relationships with suppliers and internal stakeholders. Requirements Previous experience in purchasing, procurement, purchasing administration, supply chain, logistics or a similar role. Certificate IV, Diploma or tertiary qualification in Business, Supply Chain, Logistics or a related discipline is desirable; equivalent practical experience will also be considered. Experience using an ERP, procurement or purchasing system; TechnologyOne experience is highly desirable, although experience with other ERP systems will be considered. Good Microsoft Excel skills and proficiency across Microsoft Office applications. Strong administrative and organisational skills with the ability to manage a high volume of transactions and competing priorities. High level of accuracy and attention to detail when processing orders and maintaining purchasing records. Strong written and verbal communication skills. Experience working with Australian organisations or supporting Australian purchasing/procurement operations is advantageous.
