Role Overview


Job Duck is seeking an organized, detail-oriented Real Estate Closing Paralegal to support a Connecticut real estate practice through every stage of residential and applicable commercial transactions. In this role, you will help manage purchases, sales, refinances, and other property-related matters from file opening through post-closing while working under the supervision of a Connecticut-licensed attorney. You will coordinate with clients and transaction partners, prepare essential closing and conveyancing documents, monitor critical deadlines, and help ensure every file is accurate, complete, and ready to close. The ideal candidate will thrive in a high-volume environment, communicate professionally, exercise sound judgment, and remain composed while managing time-sensitive matters. This is an excellent opportunity for an experienced real estate paralegal who takes ownership of assigned work and values accuracy, responsive service, confidentiality, and consistent follow-through


Schedule:


Monday to Friday from 09:00 AM - 06:00 PM [EST][EDT] (United States of America)


Your Responsibilities Will Include but Are Not Limited To:


  • Performing all assigned responsibilities under the direction and supervision of a Connecticut-licensed attorney without independently conducting closings, providing legal advice, or engaging in the practice of law
  • Assisting attorneys and other staff with additional real estate and administrative matters as needed
  • Providing courteous and responsive support during time-sensitive or stressful transactions
  • Recording time and transaction activity according to firm procedures
  • Assisting with escrow and client funds reconciliation according to firm procedures and attorney instructions
  • Following cybersecurity, wire transfer, identity verification, records retention, and document destruction procedures
  • Protecting confidential client, financial, and personally identifiable information
  • Maintaining accurate electronic and physical files, calendars, contact information, and transaction notes
  • Following up on outstanding releases, trailing documents, recording rejections, title matters, and post-closing conditions
  • Returning completed lender packages within required timeframes
  • Tracking recordings and obtaining recorded deeds, mortgages, releases, and other transaction documents
  • Confirming receipt of funds and assisting with wire verification procedures to reduce fraud risk
  • Obtaining signatures, acknowledgments, notarizations, identification, and supporting documents as directed
  • Assembling signing packages and assisting the supervising attorney before, during, and after closings
  • Proofreading documents for accuracy, consistency, completeness, and compliance with attorney and lender instructions
  • Preparing final title policies and delivering recorded documents and closing packages to authorized clients, lenders, and other recipients
  • Submitting documents for recording or e-recording with the appropriate Connecticut municipal land records office
  • Preparing disbursement schedules, checks, or wire requests for attorney review and approval
  • Confirming names, vesting, property descriptions, consideration, recording information, payoff figures, tax adjustments, commissions, and other financial information
  • Reviewing lender closing packages and preparing Closing Disclosures, settlement statements, ALTA statements, funding documents, and other lender-required materials
  • Identifying potential title defects or transaction issues and promptly escalating them to the supervising attorney
  • Ordering and reviewing title searches, property tax information, municipal lien information, surveys, payoff statements, mortgage releases, UCC searches, and other due diligence materials
  • Coordinating with lenders, mortgage brokers, real estate agents, title companies, surveyors, municipal offices, insurance representatives, and opposing counsel
  • Maintaining closing checklists and monitoring inspection, financing, title, contingency, commitment, and closing deadlines
  • Obtaining and reviewing contracts, lender instructions, title materials, municipal information, and other transaction documents
  • Preparing Connecticut Real Estate Conveyance Tax Return materials, including Form OP-236 and applicable schedules, and assisting with submissions through myCTREC
  • Preparing initial drafts of deeds, conveyance documents, affidavits, powers of attorney, closing statements, escrow agreements, entity resolutions, and other transaction documents for attorney review
  • Assisting with preparing title commitments, title policies, endorsements, and related title insurance documentation under appropriate attorney or title agent supervision
  • Assisting with obtaining releases, subordinations, affidavits, probate documents, entity authorizations, lien waivers, and other curative documentation
  • Reviewing title reports and land record documents for mortgages, liens, easements, restrictions, probate matters, ownership concerns, and other exceptions
  • Scheduling closings and confirming that required parties, funds, approvals, and documents will be available
  • Communicating with clients regarding required documents, scheduling, and transaction status while directing requests for legal advice to the supervising attorney
  • Opening, organizing, and maintaining residential purchase, sale, refinance, and applicable commercial real estate files


What We’re Looking For:


  • Minimum of 2 years of experience supporting residential real estate purchases, sales, and refinances
  • Working knowledge of real estate contracts, title searches, lender requirements, deeds, mortgages, liens, payoff statements, settlement statements, and recording procedures
  • Experience managing multiple transactions and deadlines in a high-volume environment
  • Ability to work independently on assigned matters while recognizing when attorney review, approval, or direction is required
  • Ability to protect confidential client, financial, and personally identifiable information
  • Preferred experience preparing title commitments, title policies, and endorsements
  • Reliable computer setup (laptop/PC, headset, stable internet min. 10 Mbps download / 5 Mbps upload)
  • Quiet, distraction-free remote work environment
