Summary:
Working in an applicant-tracking system such as Greenhouse and a scheduling and calendar tool such as Google Calendar, the Recruiting Representative helps candidates navigate recruiting steps through clear, timely communication. The representative works with candidates, recruiters, and hiring managers to explain next steps, confirm arrangements, and reduce confusion throughout the candidate experience. This fully remote position allows you to work from home in New York, United States. The role requires a 40-hour weekly commitment. Working days and shift times may vary.
Job Responsibilities:
- Review incoming candidate emails, application inquiries, and assigned recruiting queue items, identifying the requested assistance and the recruiter responsible for each opening.
- Check candidate profiles, application status, and existing conversation notes before responding so that information reflects the latest recruiter updates and avoids duplicate outreach.
- Answer routine questions about posted openings, application steps, interview formats, and recruiting timelines using approved information, referring selection questions to the assigned recruiter.
- Update candidate contact preferences, conversation summaries, and next actions in an applicant-tracking system such as Greenhouse, keeping entries clear for other recruiting team members.
- Coordinate interview arrangements through a scheduling and calendar tool such as Google Calendar, checking candidate and interviewer availability before sending confirmations.
- Send interview details, access instructions, and reminders, then confirm that candidates understand the arrangements and know whom to contact with questions.
- Monitor unanswered messages and pending confirmations, following up at the appropriate recruiting stage and recording responses so recruiters can see what remains outstanding.
- Communicate schedule changes promptly to candidates and recruiters, checking revised arrangements with everyone involved before replacing earlier invitations or instructions.
- Escalate conflicting information, repeated scheduling difficulties, or questions beyond approved guidance to the assigned recruiter or recruiting team lead with relevant context.
- Maintain quality through accurate status updates, timely responses, complete conversation notes, and consistent follow-up, incorporating feedback from routine reviews with the team lead.
Qualifications:
- High school diploma or equivalent.
- No experience required; related experience in recruiting support, administrative assistance, or candidate communication is preferred.
- Interest in recruiting workflows, including application stages, interview coordination, candidate communications, and the distinction between providing information and making selection decisions.
- Willingness to learn applicant-tracking systems and calendar tools, follow established steps, and keep candidate information accurate across related tasks.
- Clear written and verbal communication, with the ability to explain next steps courteously and adapt explanations when candidates need clarification.
- Careful handling of candidate information, using approved access practices and sharing details only with appropriate recruiting team members.
- Ability to prioritize incoming inquiries, track pending responses, and recognize when a recruiter or team lead should take over.
- A reliable computer, high-speed internet, and quiet private workspace, plus availability for the 40-hour weekly commitment and agreed working days and shift times.
- Authorization to work in the United States.
Perks & Benefits:
