Referral Submission Assistant

Office Administration | Referral Submissions | Remote
Full-time or part-time
Pay: 29.00–30.75 per hour

The job is remote, with part-time or full-time hours possible. A private home office or equivalent workspace is needed for sensitive records. The company will confirm the actual service area and coverage hours.

A referral reaches an organization through an online form or secure email. Before a qualified team can review it, someone must check that the intended service, sender details, and required attachments are present. The Referral Submission Assistant handles that administrative intake. This remote role does not assess a person's needs, determine acceptance, or give professional advice. It protects the original information and sends the referral to the appropriate reviewer.

Complete enough to review

A referral might identify the person but leave out the requested service. Another may include the service but omit a required contact route. Use the employer's checklist for that referral type. If a field is missing, request it through the approved channel or flag the item for a specialist. Do not fill a gap from an unrelated record without permission. If an attachment contains sensitive information, keep it in the secure online system and avoid pasting details into a general team message.

Timely routing matters, but so does a correct destination. If a referral seems urgent, follow the employer's escalation rule rather than deciding its clinical, legal, or service priority yourself. When a second form arrives for the same person, compare its source and date before linking it to an existing request. Office administration keeps the record organized, and customer service makes follow-up questions clear and respectful to the sender.

A referral can arrive twice, first as a partially complete form and later with an attachment. Match the submissions according to the employer's identity and date rules before creating another case. If a sender asks whether the service will accept the referral, distinguish receipt from review: you can describe the recorded status, while acceptance belongs to the designated team. Keep sensitive files in the permitted system and ask only for the missing intake detail the checklist requires. A clear handoff preserves the sender's question and the exact item awaiting a response.

What you would do

  • Read assigned referrals in the approved intake channel.
  • Check the required fields and attachments for that referral type.
  • Confirm the intended service and permitted contact information.
  • Ask a focused question when a required fact is missing.
  • Route a complete submission to the designated reviewer.
  • Record receipt, pending information, and handoff status.
  • Flag duplicates or urgent concerns under the supplied process.
  • Protect private information and preserve original wording.

Prior referral experience is a plus, not a requirement. Customer service and office administration skills transfer well, and the employer will train beginners on its forms, privacy rules, and routing guide. You should be able to learn a web-based system, read closely, and leave decisions to the qualified team.

A referral can name several services or request a callback without a preferred contact method. Use the supplied routing guide to separate the information needed for intake from a decision the reviewer must make. If the sender is an organization, check that its contact details are recorded with the submission so the reviewer can ask a question. If a referral is withdrawn, preserve the original record and note the withdrawal rather than deleting the history.

Some referrals arrive outside standard hours. The employer will define what is urgent and whom to notify. Your role is to recognize the specified trigger and pass the original information through the secure route. You should not assure the sender that services will begin or that a referral has been accepted. A clear acknowledgement can state receipt and the next administrative step without promising an outcome.

If a referral is returned to the sender for missing information, note what was requested and when. A later response should connect to the original submission so the reviewer can see a complete package. Avoid counting it as a new referral merely because a new attachment arrived.

Your application

Describe a time you checked a submission before passing it to the person responsible. You can use examples outside referral work. The ability to ask for a missing detail without assuming an answer is especially relevant. Selected candidates may receive a request to submit an application through the employer’s website. The intake team will explain its forms and training during selection.
