What You Can Expect



As a Remote Bookkeeper, you will support the financial operations of the organization by accurately recording, organizing, reviewing, and maintaining day-to-day financial transactions and accounting records. This role helps ensure that financial information is complete, current, properly documented, and available to support reporting, reconciliation, budgeting, and business decision-making. The position involves working with accounting software, spreadsheets, invoices, receipts, payment records, expense documentation, bank and credit card transactions, and other financial information to ensure transactions are properly recorded and discrepancies are identified and addressed.

Key Responsibilities



Financial Recordkeeping & Transaction Management



  • Record, categorize, update, and maintain financial transactions in approved accounting systems and spreadsheets.
  • Maintain accurate records of income, expenses, purchases, payments, receipts, and other business transactions.
  • Review financial documents for completeness and accuracy before entering information into accounting systems.
  • Maintain organized electronic records of invoices, receipts, statements, payment confirmations, and supporting documentation.
  • Ensure transactions are appropriately categorized according to established accounting procedures and company policies.
  • Follow established financial record-retention, confidentiality, and information-security requirements.


Accounts Payable & Accounts Receivable



  • Assist with recording and tracking vendor invoices, bills, payments, and outstanding balances.
  • Maintain customer billing and payment records and assist with monitoring accounts receivable.
  • Verify invoice information, payment details, and supporting documentation for accuracy.
  • Track due dates and assist with identifying overdue invoices or outstanding balances.
  • Coordinate with appropriate team members regarding missing documentation, billing discrepancies, or payment questions.
  • Maintain accurate records of payments received and payments issued.


Bank & Account Reconciliation



  • Assist with reconciling bank, credit card, payment-processing, and other financial accounts.
  • Compare internal accounting records with statements and transaction documentation to verify accuracy.
  • Identify missing, duplicate, incorrectly categorized, or inconsistent transactions.
  • Research routine discrepancies and coordinate with appropriate personnel when additional information is required.
  • Maintain supporting documentation for completed reconciliations.
  • Assist with month-end reconciliation and bookkeeping activities as assigned.


Financial Reporting & Documentation



  • Prepare recurring and ad hoc bookkeeping reports using available financial information.
  • Assist with preparing income and expense summaries, account balances, transaction reports, and other financial schedules.
  • Maintain spreadsheets and reports used to track financial activity.
  • Organize financial information into clear and understandable formats for management and accounting personnel.
  • Assist with gathering financial documentation required for month-end, quarter-end, and year-end accounting activities.
  • Provide accurate financial information and supporting records in response to authorized internal requests.


Financial Accuracy & Record Integrity



  • Review bookkeeping records for incomplete, duplicate, outdated, or incorrectly entered information.
  • Perform routine accuracy checks on financial transactions and supporting documentation.
  • Correct routine bookkeeping errors in accordance with established procedures and escalate significant discrepancies when appropriate.
  • Maintain consistent transaction descriptions, account classifications, and documentation standards.
  • Protect confidential company, customer, vendor, banking, payroll, and financial information.
  • Assist with maintaining accurate records for internal reviews, audits, tax preparation, and other accounting requirements.


Administrative Support & Collaboration



  • Collaborate with accounting, finance, administrative, operations, purchasing, and management teams regarding financial documentation and bookkeeping needs.
  • Assist with collecting invoices, receipts, expense documentation, and other required financial records.
  • Respond professionally to authorized internal questions regarding transaction records and supporting documentation.
  • Identify opportunities to improve bookkeeping, documentation, reconciliation, and recordkeeping processes.
  • Participate in accounting and finance projects as assigned.
  • Maintain knowledge of company accounting systems, bookkeeping procedures, financial policies, and documentation standards.


Skills & Qualifications



Bookkeeping & Numerical Skills



  • Strong numerical accuracy and attention to detail.
  • Ability to review financial information and identify discrepancies or missing documentation.
  • Basic understanding of bookkeeping principles, financial transactions, income, expenses, accounts payable, and accounts receivable.
  • Ability to maintain accurate and organized financial records.
  • Willingness to learn company-specific bookkeeping procedures and accounting practices.


Technical Proficiency



  • Familiarity with Microsoft Excel, Word, Outlook, or similar productivity applications.
  • Basic experience with spreadsheets, accounting software, bookkeeping platforms, or financial recordkeeping systems is beneficial.
  • Experience with QuickBooks, Xero, Sage, FreshBooks, Microsoft 365, Google Workspace, or similar accounting and productivity platforms is advantageous but not required for all candidates.
  • Ability to accurately enter numerical and financial information.
  • Ability to learn new accounting software and company-specific financial systems through provided training.


Organizational Skills



  • Ability to maintain organized and accurate financial records.
  • Strong time-management and prioritization abilities.
  • Ability to manage multiple bookkeeping assignments while meeting established deadlines.
  • Consistent documentation and recordkeeping practices.
  • Ability to follow established accounting procedures and internal controls.

  • Strong written and verbal communication skills.
  • Ability to communicate professionally regarding financial records and documentation.
  • Ability to collaborate effectively with accounting personnel, managers, vendors, customers, and other authorized stakeholders as required.
  • Comfortable requesting clarification when financial information or documentation is incomplete.
  • Strong discretion when handling confidential and sensitive financial information.


Education & Experience



  • High school diploma or equivalent required.
  • Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field is preferred but not required.
  • Bookkeeping or accounting coursework, training, or certification is beneficial.
  • Previous experience in bookkeeping, accounting support, accounts payable, accounts receivable, billing, payroll support, financial administration, or office administration is advantageous.
  • Entry-level candidates and individuals with relevant transferable skills are encouraged to apply.
  • Comprehensive training will be provided to qualified candidates.
