## Company overview

Our client is a U.S.-based water filtration company that calls itself "the pioneers of alkaline mineral technology." It designs and makes high-performance drinking water systems (including the 22-stage ALKA75 drinking unit), water softeners, interchangeable shower filters (Cleo+ and AlkaShower), and a wellness and beauty line (AlkaBeauty, AlkaGlam). Its products are made in the USA under strict quality-control standards. Our client sells direct-to-consumer through its own online store and Amazon and has a 4.85-star rating from more than 500 customer reviews.

The company is headquartered in Valencia, California (Los Angeles Division) and has a second operating division in Walterboro, South Carolina. Our client moves fast and runs like a startup. Its finance team is small and hands-on, and it values accuracy, ownership and clear communication.

## Role summary

Our client is hiring a detail-oriented Remote Accountant / Bookkeeper to keep its books accurate and current in QuickBooks. You will cover the full day-to-day accounting cycle: accounts payable and expense tracking, accounts receivable and project-based invoicing, collections follow-up, and monthly reconciliations of bank, credit card, AR and AP accounts.

You will work closely with the Los Angeles headquarters team, which keeps all payment approval authority and banking access. This is an execution and control role. You prepare, record, reconcile and flag issues, and the U.S. team reviews and releases funds. The right person makes month-end clean, catches discrepancies early, and gives leadership financial records they can trust.

## Key responsibilities

### Accounts payable (AP) and expense tracking
- Enter vendor invoices and bills in QuickBooks, check that expense coding is correct, and send each item through the approval workflow.
- Prepare payment batches for the U.S. team to review and release, and keep billing records accurate and complete.
- Track and categorize company expenses, and follow up with employees and vendors on missing receipts or documentation.
- Reconcile AP-related accounts (Accounts Payable, Prepaid Expenses, expense reports) and resolve discrepancies quickly.
- Answer vendor and employee billing questions clearly and professionally.

### Accounts receivable (AR) and invoicing
- Prepare and send project-based invoices, making sure coding and billing data are accurate and complete.
- Record cash receipts and post transactions using bank and payment-processor reports from the U.S. team.
- Monitor open invoices and follow up with customers on late or short payments.
- Prepare refunds and credits for U.S. team approval.

### Reconciliation and reporting
- Complete monthly reconciliations of bank, credit card, AR and AP accounts, using statements and read-only reports from the U.S. team.
- Review the general ledger for errors, flag unusual items, and prepare supporting schedules for audits and financial reviews.
- Keep financial files organized and audit-ready, and provide ad-hoc reports when leadership asks for them.
- Help with a smooth, on-time month-end close.

### Access and security
- This role has no access to company bank accounts or company credit or debit cards, and no authority to approve or release payments.
- Accounting system access is limited to what the role needs. All work follows our client's data-security and confidentiality policies.

## Requirements and qualifications

- At least 2 years of hands-on QuickBooks experience (required).
- At least 2 years of accurate, high-volume financial data entry (required).
- Proven experience with AR/AP, invoicing, collections follow-up and account reconciliation.
- Solid understanding of bookkeeping principles: double-entry accounting, the chart of accounts, accruals and prepaids, and month-end close.
- Strong organizational skills and great attention to detail, with a track record of catching and fixing discrepancies.
- Comfortable working independently and taking initiative in a fast-moving, startup-style environment.
- Excellent written and spoken English. Comfortable working with U.S.-based remote teams over Zoom.
- A reliable high-speed internet connection, a quiet workspace, and full availability during PST business hours.
- Discretion and integrity in handling confidential financial information.

## Nice-to-haves

- At least 2 years of experience with CRM software, especially Monday.com.
- A degree or diploma in Accounting, Finance or Business, or progress toward a bookkeeping or accounting certification (such as QuickBooks ProAdvisor, Certified Bookkeeper or a CPA track).
- Experience supporting U.S. companies, especially e-commerce, direct-to-consumer, consumer products or manufacturing businesses.
- Familiarity with payment processors and marketplace payouts (such as Shopify Payments, Stripe, PayPal or Amazon Seller Central settlement reports).
- Experience preparing audit support schedules and working with external accountants or auditors.
- Advanced Excel or Google Sheets skills (VLOOKUP/XLOOKUP, pivot tables, reconciliation templates).

## Tools and software

- **Accounting:** QuickBooks (core system)
- **CRM and project management:** Monday.com
- **Spreadsheets:** Microsoft Excel and Google Sheets
- **Communication:** Zoom, email, and the team's internal messaging tools
