Job Summary: We are seeking a capable, proactive, and highly organized Remote Executive Assistant (Childcare Brokerage) to work closely with the owner of a childcare brokerage business . The ideal candidate will serve as a trusted right-hand assistant, helping manage day-to-day responsibilities, including calendar management, scheduling, client follow-ups, phone calls, emails, and task tracking. The successful candidate will be dependable, resourceful, detail-oriented, and highly proactive, with the ability to work independently, take ownership of responsibilities, and ensure tasks are completed accurately and on time. This role offers an opportunity for a motivated professional to grow into a key position within the company. Key Responsibilities: Manage and maintain the client's calendar and schedule. Coordinate appointments and meetings. Follow up with clients and contacts as needed. Handle incoming and outgoing phone calls professionally. Track tasks and monitor progress to ensure timely completion. Manage emails and routine correspondence. Prepare and organize documents, reports, and other administrative materials. Support daily operations and assist with other administrative tasks as needed. Perform other duties related to the position as assigned. Qualifications & Requirements: Proficient level of English (written and spoken). Excellent communication and problem-solving skills, allowing for effective collaboration with clients, vendors, and teammates. Previous operations or administrative management experience preferred. Proactive with the ability to manage multiple responsibilities independently. Strong sense of ownership, accountability, and problem-solving. Excellent organizational skills with the ability to manage schedules, and daily operations. Strong attention to detail and ability to manage multiple tasks in a fast-paced environment. Strong problem-solving skills with the ability to work independently. Proficiency with Microsoft Office (Word, Excel, Outlook), and standard business tools (email, spreadsheets, document management). Out-of-the-box thinker, highly adaptable, reliable, self-motivated, and confident approach. Ability to quickly learn new systems, software, and workflows. Ability to understand and follow established processes accurately with minimal supervision. Ability to work U.S. Eastern Time (New York) business hours and adapt to business needs.
