About the Company Our client is a boutique federal immigration law practice with more than 25 years of experience supporting entrepreneurs, corporations, investors, and families navigating complex U.S. immigration matters. The firm specializes in business, investor, and family-based immigration cases and operates in a collaborative, technology-forward environment. AI tools, cloud-based legal systems, and modern workflows are deeply integrated into the firm’s daily operations, allowing the team to scale high-quality case support while maintaining exceptional client service. Role Overview This Entry Level Paralegal role exists to support attorneys and senior paralegals across the full immigration case lifecycle. You will help organize case files, prepare immigration-related documentation, coordinate client communication, and maintain accurate records across multiple legal and CRM platforms. The role is highly execution-focused and detail-intensive, requiring someone who is organized, proactive, tech-savvy, and eager to learn. You’ll work closely with senior legal professionals while operating within a structured training environment designed to help you grow into immigration law operations and case preparation. Your Impact: You will play a critical role in helping the legal team manage growing case volume without sacrificing quality or responsiveness. Your work will directly support: Accurate and organized immigration case management across active client files Timely preparation and coordination of USCIS-related documentation Improved operational efficiency for attorneys and senior paralegals Strong client communication and case follow-through Streamlined document handling and digital workflow management Consistent adoption of AI-enabled and cloud-based legal operations systems Core Responsibilities Case File Building & Maintenance — 35% Build and maintain organized digital client files within SharePoint and related systems Save, label, and organize incoming client documents following firm naming conventions Update and maintain accurate case records in Salesforce and Docketwise Ensure all active matters are properly documented and accessible to the legal team Monitor document completeness and follow up on missing case materials USCIS Form & Document Drafting — 25% Draft immigration-related government forms under supervision Prepare exhibit lists and petition support documentation Assist with notice of filing and public access file preparation Support attorneys and senior paralegals with petition assembly workflows Review documentation for completeness and accuracy before submission Client Communication & Coordination — 20% Communicate with clients regarding document requests, reminders, and status updates Coordinate document collection and follow-up via email and virtual communication channels Join attorney-client Zoom calls to take notes and surface relevant case details Handle basic non-legal client inquiries and escalate legal matters appropriately Maintain professional, timely, and client-friendly communication standards Tool & Process Mastery — 15% Operate within Microsoft 365, Teams, Adobe, Salesforce, Docketwise, and SharePoint Utilize AI tools such as Claude and Perplexity to support drafting and research workflows Follow structured onboarding and training processes Adapt quickly to new systems, legal workflows, and operational changes Maintain accuracy and efficiency across digital legal operations Continuous Learning — 5% Study immigration law concepts and terminology through internal learning resources Track USCIS-related updates relevant to active casework Proactively seek educational materials and ask thoughtful questions Continuously improve legal operations and technology skills Must-Haves (Required) 1–3 years of administrative, operations, legal support, or office experience Excellent written and verbal English communication skills Strong attention to detail and ability to apply feedback consistently Strong critical thinking and problem-solving abilities Highly proactive and self-directed learning mindset Comfort working in fast-paced, high-accountability environments Strong internet connection and reliable remote work setup Proficiency with productivity tools and cloud-based software platforms Ability to manage multiple tasks and maintain organized workflows Bachelor’s degree in Legal Studies or a related field, or equivalent professional experience Nice-to-Haves (Preferred) Prior U.S. immigration law or USCIS-related experience Previous law firm experience in any practice area Familiarity with Salesforce, Docketwise, Litify, or Neos Bilingual communication skills, especially Spanish Customer service, hospitality, or client-facing professional background Experience using AI tools within professional workflows Tools Proficiency Must-Haves (Required) Microsoft 365 Microsoft Teams Outlook Excel Word Adobe Acrobat Salesforce Docketwise SharePoint Claude Perplexity Nice-to-Haves (Preferred) Litify Neos CRM platforms Legal case management systems AI-assisted productivity workflows Competitive Salary: Based on experience and skills Remote Work: Fully remote—work from anywhere Team Incentives: Recognition for maintaining 100% CRM hygiene and on-time reporting Generous PTO: In accordance with company policy Health Coverage for PH-based talents: HMO coverage after 3 months for full-time employees Direct Mentorship: Guidance from international industry experts Learning & Development: Ongoing access to resources for professional growth Global Networking: Connect with professionals worldwide Our Recruitment Process Application Screening Skills Assessment Top-grading Interview Client Interview Job Offer Client Onboarding Ready to Join Us?
