Our Newest Opportunity: Summary: This role manages the day-to-day execution of requests for proposals (RFPs), requests for information (RFIs), and Due Diligence Questionnaires that support prospective client business development efforts across OneDigital's Financial Services practice but primarily retirement plans, including defined contribution, defined benefit, and related institutional business. This role partners closely with the RFP and Proposal Strategy Manager and cross-functional contributors to deliver polished, submission-ready responses on deadline . This role manages pursuit intake, applies an established triage model, coordinates end-to-end fulfillment, and maintains the integrity of the compliance-approved content library. This is a role for someone who wants to build real depth in Financial Services business development , starting close to the work and growing toward greater complexity, process ownership, and strategic contribution over time. Essential Duties and Responsibilities (includes but is not limited to): Intake, Triage & Timeline Management Manage pursuit intake and apply the established triage rubric to route each opportunity to the appropriate lane: self-service, assisted, or strategic. Manage pursuit timelines end to end, coordinating dependencies across contributing teams and practice areas for cross-practice and converged bids. Flag capacity or timeline risk early so the Strategy Manager can rebalance workload before a deadline is at risk. Coordinate pursuit kickoffs and establish clear roles, responsibilities, deadlines, and dependencies across all contributors. Maintain accurate pursuit tracking and status information — including deadlines, outcomes, resource requirements, and content usage — to support reporting and capacity planning. Fulfillment, Content & Production Create, assemble, and complete responses from the compliance-approved content library, coordinating with cross-functional partners and internal systems as needed. Maintain the day-to-day integrity of the compliance-approved content library, flagging stale, missing, or inconsistent content for the Strategy Manager's review. Coordinate with Compliance and subject matter experts on net-new responses where no compliance-approved content exists, escalating substantive content and positioning questions to the Strategy Manager. Use approved AI tools to accelerate drafting, research, formatting, and quality checks — always within Compliance-set guardrails and with appropriate human review. Assemble reference and bio packages, pulling from the maintained roster and case-study library. Coordinate sample and custom materials for each business development opportunity — case studies, fee exhibits, comparison matrices, and similar deliverables. Support the Strategy Manager in maintaining the case-study library, referenceable-client roster, and other reusable pursuit materials. Own final formatting, proofing, brand and template compliance, and packaging of every submission-ready document. Coordinate final submission logistics, ensuring required materials, approvals, signatures, and supporting documents are complete and submitted accurately and on time. Quality Control, Compliance Routing & Archiving Perform quality-control reviews of drafts and final submissions for completeness, consistency, formatting, and adherence to established standards. Flag regulated or Compliance-sensitive content early and route it appropriately, using review-only-the-delta practices wherever possible. Manage supplemental follow-up questionnaires after the first round of a pursuit. Populate the content library and business development systems with completed deliverables and reusable information, ensuring materials are properly tagged and available for future pursuits. Support win/loss debriefs and reporting, capturing themes and stale-content flags for the Strategy Manager. Qualifications, Skills and Requirements: 3 + years of experience in proposal coordination, business development, sales or marketing operations, or a comparable deadline-driven environment. Demonstrated ability to produce, develop, or fulfill proposal, RFP, or prospect-facing materials. Strong written communication skills, with the ability to edit, synthesize, and improve complex content while preserving the intent of the underlying response. Excellent project management and organizational skills, with strong attention to detail and accountability across multiple simultaneous deadlines. Sound judgment about when to proceed independently and when to escalate questions, risks, or exceptions. Strong interpersonal communication skills, a high sense of urgency, and a track record of following through in deadline-driven environments. High proficiency in Microsoft 365 (Word, Excel, PowerPoint, Teams, SharePoint, OneNote). Familiarity with proposal management, sales enablement, CRM, or content management platforms; experience with Responsive, Seismic, or Salesforce is preferred. Comfort learning and working within compliance-driven content standards is required. Experience with or exposure to retirement plans (defined contribution, defined benefit), wealth management, or institutional investing audiences is preferred. Understanding of Financial Services regulatory context and compliance requirements as they apply to business development and client-facing materials is preferred. Demonstrated ability to work both independently and collaboratively in a high-volume, fast-paced environment. Education, Training and Experience: Bachelor's degree in Business Administration, Marketing, Communications, English, Finance, or a related field required; equivalent professional experience will be considered. Experience working within or alongside Financial Services — particularly retirement plans (defined contribution or defined benefit) — is preferred. Familiarity with compliance-approved content workflows or regulated content environments is a plus. APMP certification or comparable proposal management training is a plus. The typical base pay range for this role nationwide is $70,000 to $80,000 per year . Your base pay is dependent upon your skills, education, qualifications, professional experience, and location. In addition to base pay, some roles are eligible for variable compensation, commission, and/or annual bonus based on your individual performance and/or the company’s performance.
