About the role
- This is an entry-level role for someone who wants to build a career in tourism, operations and customer experience.
- As our Reservations & Marketing Assistant, you will support the Operations Lead and wider team with the day-to-day work that keeps our bookings accurate, organised and ready to deliver.
- A large part of your role will involve data entry, booking administration, updating records and checking details. You will need to enjoy getting the small things right and understand how important accurate information is to our passengers, drivers and travel partners.
- You will also have the chance to support our marketing and content activity, particularly during quieter tourism periods. This could include social media, website content, Canva, photography, video, reels, blogs and other projects that help us grow.
- We want someone who is excited about tourism, technology and helping us create something special for visitors to New Zealand.
- This is a hands-on support role. You will work closely with the Operations Lead and help manage the administration behind our bookings.
- During busy tourism periods, reservations and operations will always come first.
- During quieter periods, particularly through winter, you will have more opportunity to support marketing, content creation and business growth projects.
- You do not need to come into the role knowing everything.
- You do need to be curious, accurate, tech confident and willing to work things out.
Key responsibilities
Reservations and booking support
You will:
- Enter bookings accurately into our booking systems.
- Update booking details when customers or agents send changes.
- Check dates, times, pickup locations, destinations and passenger information.
- Add flight information, contact details and special requirements.
- Maintain accurate records across our systems.
- Follow established booking processes.
- Review booking information for obvious gaps or inconsistencies.
- Ask questions when information is missing or unclear.
- Help prepare bookings so the Operations Lead can review and manage them efficiently.
- Support amendments, cancellations and general booking updates.
- Help keep future bookings organised and up to date.
Data entry and administration
A significant part of this role involves detailed administration.
You will:
- Enter and update data accurately.
- Maintain customer and agent records.
- Keep supporting documents organised.
- Update booking notes and internal information.
- Complete routine administration tasks.
- Check your work before you mark tasks as complete.
- Help maintain clean and accurate data across the business.
Accuracy matters.
A small data entry error can create a big operational problem later, so we expect you to take pride in getting the details right.
Supporting the Operations Lead
You will work closely with the Operations Lead and help them keep the day-to-day operation moving.
You may:
- Help prepare upcoming bookings for review.
- Flag missing information.
- Update changes as they arrive.
- Assist with driver information.
- Help organise booking documents.
- Prepare information for customers, agents or drivers.
- Complete follow-up administration.
- Help maintain a clear forward view of upcoming work.
This role supports operational decision-making rather than owning it.
As your experience grows, you will gradually take on more responsibility.
Marketing and content creation
During quieter periods, you will help us tell the story of our brands and the experiences we create.
You may:
- Help create social media content.
- Draft captions and posts.
- Create graphics and marketing material in Canva.
- Help produce short-form video and reels.
- Edit photos and simple video content.
- Gather content from drivers, tours and destinations.
- Help maintain website content.
- Draft blogs or destination content.
- Research tourism trends, destinations and visitor experiences.
- Help create agent and customer marketing material.
- Support email marketing.
- Help keep our social channels active and relevant.
- Look for new ways to showcase our brands and experiences.
You do not need to be a professional marketer.
You do need a genuine interest in content, storytelling and how businesses build an audience.
Technology and AI
Technology is a major part of how we work. You must feel comfortable learning and using digital tools. You will work across different systems, devices and platforms, which may include:
- Desktop and laptop computers
- Mobile phones
- Tablets and iPads
- Booking systems
- CRM platforms
- Google Workspace
- Canva
- Social media platforms
- Website systems
- AI tools
- Internal communication tools
We expect you to use technology to solve problems rather than avoid them. If you do not know how to do something, your first instinct should be to investigate, test and find a solution.
We actively use AI across the business. You will use AI responsibly to:
- Draft content.
- Organise information.
- Research ideas.
- Improve processes.
- Solve problems.
- Speed up repetitive work.
- Help create better customer and team experiences.
You must still check your work and use good judgement. AI supports the work. It does not replace responsibility.
Tourism knowledge and curiosity
We want someone who gets excited about showing people New Zealand. You might already know a lot about the South Island, or you might simply be hungry to learn.
You will gradually build knowledge of:
- Christchurch and Canterbury
- South Island destinations
- Tourist attractions
- Hotels and accommodation
- Scenic routes
- Activities and experiences
- Travel times
- Visitor expectations
- The tourism industry
We want you to care about the experiences we create and take pride in helping visitors leave New Zealand with stories they will remember.
Hybrid working
This is a hybrid role. You will spend some time working from our office and may work from home for the remainder of your agreed hours.
Hybrid working requires trust.
When working remotely, we expect you to:
- Be available during agreed working hours.
- Respond promptly to the team.
- Keep your work moving.
- Communicate clearly.
- Work independently.
- Maintain accurate records.
- Ask for help when you need it.
- Complete tasks reliably.
Working from home does not mean working whenever you choose.
We need consistent coverage and communication so the wider operation can rely on you.
What takes priority
Reservations and operational support sit at the core of this role.
During busy periods, booking administration and operational support will always take priority.
As capacity allows, particularly during quieter tourism periods, you will spend more time supporting marketing, content and growth activity.
This flexibility forms an important part of the role.
What success looks like
You will know you are doing well when:
- Booking information is accurate.
- The Operations Lead can rely on the information you enter.
- You complete tasks on time.
- You catch simple errors before they become problems.
- You ask questions when something does not make sense.
- You learn our systems quickly.
- You become increasingly independent.
- You contribute useful marketing ideas.
- You help keep our content active during quieter periods.
- You understand more about tourism every month.
- You find smarter ways to complete repetitive work.
- The wider team trusts you to follow things through.
About you
You will probably enjoy this role if you are:
- Highly organised.
- Accurate.
- Curious.
- Comfortable with technology.
- A confident learner.
- Creative.
- Resourceful.
- Reliable.
- Calm under pressure.
- Comfortable with repetitive work.
- Happy to follow a process.
- Willing to ask questions.
- Comfortable working independently.
- Interested in tourism.
- Interested in marketing and social media.
- Excited by AI and new technology.
You do not need someone to show you every single step. If you do not know how to do something, your instinct should be: “I’ll work out how to do that.”
Skills and experience
Previous experience in administration, tourism, hospitality, marketing, customer service or reservations would help, but it is not essential.
We care more about:
- Your attitude.
- Your attention to detail.
- Your ability to learn.
- Your confidence with technology.
- Your curiosity.
- Your work ethic.
- Your willingness to take ownership.
We can teach you how our booking systems work. It is much harder to teach someone to be resourceful.
Our expectation
- We do not expect you to know everything.
- We do expect you to care.
- Care about the accuracy of your work.
- Care about the customer experience.
- Care about helping your teammates.
- Care about the reputation of our brands.
- Care about learning.
- Care about what we are building.
- If something does not look right, ask.
- If you make a mistake, own it and fix it.
- If a process feels inefficient, think about how we could improve it.
- If you see an opportunity to create something better, speak up.
- We are building something special, and this role gives you the opportunity to grow with it.
