Job Title: Retail Inventory Manager
Department: Profit Protection/Finance

The Retail Inventory Manager leads the day-to-day execution of the Company’s Inventory Fix function and provides specialized support for retail inventory accuracy across point-of-sale, ERP, and state-mandated seed-to-sale systems. The role ensures inventory correction requests are researched, supported, approved, processed, and documented consistently while maintaining the audit trail required for financial, regulatory, and SOX compliance.
The Manager serves as the operational subject-matter expert for retail inventory corrections, physical inventory support, system exceptions, and state-specific requirements. The role is also accountable for documenting procedures, transferring knowledge, building backup coverage, and helping transition Inventory Fix from a person-dependent ticket function to a controlled, measurable, and scalable operating model.
Retail Operations and other business functions remain accountable for the accuracy of store execution, including receiving, transfers, inventory handling, count preparation, physical counting, and corrective action. Inventory Fix provides controlled correction support, exception management, monitoring, and escalation and does not replace business ownership of the underlying process.
1. Inventory Fix Operations and Service Delivery
- Lead daily Inventory Fix intake, prioritization, assignment, research, correction, approval support, and closure across supported retail systems and states.
- Ensure requests contain complete and reliable supporting documentation before inventory records are changed.
- Establish and monitor service levels for aging, response time, resolution time, backlog, and escalated requests.
- Review higher-risk, unusual, material, or repeat requests and escalate matters that may indicate control breakdowns, fraud, theft, regulatory exposure, or systemic issues.
- Maintain clear separation between requested corrections, approved corrections, system changes, and business-owner accountability.
2. Physical Inventory and Month-End Support
- Coordinate Inventory Fix readiness and support for scheduled retail physical inventories, including count file preparation, upload review, variance support, posting, and controlled resolution of system exceptions.
- Partner with Profit Protection and Retail Operations to identify count-processing issues without assuming ownership of store count preparation or count execution.
- Document physical-inventory exceptions, unresolved variances, late submissions, unsupported changes, and the operational owner responsible for follow-up.
- Provide timely status, issue, and escalation reporting during inventory counts, while maintaining sustainable coverage and backup assignments.
- Support post-inventory analysis by identifying adjustment types, system exceptions, recurring ticket drivers, and matters requiring further investigation.
3. Inventory Systems and Data Integrity
- Research inventory movement and transaction history across SAP, OMS, Dutchie, MJ Platform, Metrc, BioTrack, and other applicable systems before processing corrections.
- Identify and document system defects, interface failures, package or batch issues, data-conversion errors, and other technology conditions affecting inventory accuracy.
- Escalate system issues to IT or application-support team with complete evidence, business impact, affected locations, and required resolution.
- Participate in user acceptance testing, implementation readiness, and post-implementation monitoring for retail inventory system changes.
- Perform only authorized inventory changes and maintain evidence sufficient to demonstrate who requested, reviewed, approved, executed, and validated each change.
4. Process Documentation and Knowledge Transfer
- Document ticket types, required inputs, research steps, decision rules, system procedures, approvals, state-specific requirements, and escalation scenarios.
- Maintain current standard work, job aids, decision trees, and representative examples for common and complex Inventory Fix requests.
- Cross-train designated backup resources and periodically validate that critical activities can be completed without dependence on a single individual.
- Support development of a consistent national ticket taxonomy framework that can be applied across numerous states.
- Identify repetitive, manual, or rules-based steps that should be simplified, automated, or incorporated into a structured workflow portal.
5. Reporting, Root-Cause Support, and Continuous Improvement
- Maintain accurate data on ticket volume, type, location, age, resolution, root cause, repeat issues, and responsible process owner.
- Provide operational data and subject-matter expertise to support trend analysis led by Profit Protection.
- Identify the highest-volume and highest-risk sources of Inventory Fix demand and recommend opportunities to eliminate preventable tickets.
- Distinguish operational failures, technology defects, regulatory requirements, and valid correction needs rather than treating all tickets as equivalent.
- Measure whether process changes reduce ticket volume, backlog, repeat issues, manual effort, and dependence on Inventory Fix intervention.
6. Cross-Functional Partnership and Accountability
- Partner with Retail Operations, Compliance, Technology, Supply Chain, Quality, Finance, and Profit Protection to resolve inventory exceptions and clarify ownership.
- Communicate requirements, risks, and unresolved issues clearly to store and functional leaders.
- Redirect underlying process failures to the accountable business owner and track them through resolution or formal escalation.
- Collaborate with Retail Operations on SOP and training updates while preserving Retail Operations ownership of store execution and employee training.
- Support investigations involving inventory integrity by providing system history, transaction evidence, correction records, and subject-matter expertise.
- Inventory Fix requests resolved accurately, timely, and with complete supporting evidence.
- Backlog, aged tickets, repeat submissions, and avoidable rework reduced over time.
- Critical procedures documented and backup coverage demonstrated through cross-training or rotation.
- Physical inventory support provided within agreed service levels, with exceptions and capacity constraints escalated timely.
- Root-cause and ownership data captured consistently enough to support state and national reporting.
- Preventable ticket volume reduced through business-owner remediation, workflow improvement, and automation.
- Maintain timely and accurate support of state regulatory and seed-to-sale inventory requirements, with compliance-related discrepancies, system failures, and reporting risks identified and escalated promptly.
- No unauthorized inventory changes, unsupported adjustments, material documentation gaps, or identified regulatory compliance failures attributable to Inventory Fix execution.
- Five or more years of progressive experience in retail inventory, inventory control, store operations, regulated inventory, or a related field.
- Demonstrated experience researching inventory transactions, reconciling discrepancies, and processing controlled inventory corrections.
- Ability to manage detailed operational work, competing deadlines, month-end activity, and escalation priorities with accuracy and discipline.
- Strong written and verbal communication skills, including the ability to clearly document decisions, procedures, risks, and unresolved issues.
- Intermediate to advanced Microsoft Excel skills and experience working with ticketing or workflow systems.
- Experience training or cross-training others on systems and inventory procedures.
- Ability to work effectively across Retail Operations, Compliance, Technology, Finance, Supply Chain, and other business functions.
- Experience in a complex, multi-state, highly regulated retail environment.
- Experience with SAP or SAP Fiori, OMS, Dutchie, MJ Platform, Metrc, BioTrack, Zendesk, OpenText, or comparable platforms.
- Experience supporting physical inventory counts, system implementations, user acceptance testing, and data-conversion activities.
- Knowledge of SOX documentation expectations, inventory audit trails, segregation of duties, and change authorization.
- Experience participating in workflow automation, structured intake, reporting, or inventory-governance improvement initiatives.
- Cannabis retail or seed-to-sale inventory experience.
- Operates with consistency, accuracy, and sound judgment in a high-volume environment.
- Challenges incomplete requests and unsupported assumptions while remaining service-oriented.
- Shares knowledge openly and supports development of sustainable team capability.
- Distinguishes immediate ticket resolution from the underlying process issue that created the request.
- Escalates constraints, risks, and missed commitments proactively rather than allowing work to remain unresolved.
- Adapts to changing systems, processes, regulatory requirements, and organizational priorities.
This position primarily performs computer-based work but may require travel to retail locations and the ability to inspect inventory storage, receiving, and count areas. The employee must be able to work extended hours during month-end physical inventories, system implementations, or urgent inventory events, including occasional evenings, weekends, and holidays.
