Position Summary:

The Right Reach Program Coordinator supports Roofed Right America’s national post-proposal follow-up program by conducting professional customer outreach, documenting proposal status, and ensuring assigned opportunities receive consistent follow-through. The position begins after the business unit’s initial estimator follow-up and works within established procedures to help move opportunities toward a decision.

This role is designed as an entry point into the National Administration team. The coordinator will receive structured cross-training in National Sales Coordinator processes and will provide backup support during periods of increased volume, employee absence, or changing business priorities.

Key Responsibilities

Right Reach Customer Follow-Up

• Review assigned CenterPoint opportunities, proposal details, contact information, and prior notes before outreach.

• Conduct professional phone and email follow-up with customers regarding submitted proposals.

• Confirm whether a project remains active, delayed, pending, cancelled, awarded, or otherwise resolved.

• Complete scheduled follow-up activities, including the 30-day check-in, using the established Right Reach workflow.

• Record every meaningful contact attempt, customer response, next step, and outcome accurately in CenterPoint.

• Identify customer questions, concerns, red flags, or opportunities requiring escalation to the Opportunity Owner or senior team member.

• Follow all do-not-call instructions and other handling notes provided by Opportunity Owners.

• Tag and close completed tasks in accordance with established procedures.

Administrative & Team Support

• Maintain accurate customer, opportunity, contact, and activity information.

• Assist with organizing assigned follow-up queues, prioritizing the freshest bids and campaign-sourced opportunities as directed.

• Support weekly and monthly pipeline meeting preparation through accurate activity notes and status updates.

• Respond to internal and external inquiries professionally and route questions to the appropriate team member.

• Maintain confidentiality and follow RRA procedures, communication standards, and documentation requirements.

Cross-Training & Backup Coverage

• Participate in structured cross-training with the National Sales Coordinator and other National Administration team members.

• Develop working knowledge of CRM updates, pipeline tracking, scheduling, sales-support administration, and other designated backup processes.

• Provide backup support when volume increases, team members are absent, or operational priorities require reassignment.

• Maintain process notes and demonstrate proficiency in assigned backup functions.

• Remain flexible and willing to shift priorities to support the overall National Administration team.

Tools for the Job:

  • Qualifications & Competencies

    • High school diploma or equivalent required; additional education preferred.

    • Prior customer service, call center, administrative, sales support, or office experience preferred but not required.

    • Professional phone presence and strong written and verbal communication skills.

    • Comfort using computers, email, spreadsheets, and CRM or business software.

    • Strong attention to detail, organization, follow-through, and willingness to learn.

    • Ability to handle repetitive outreach while maintaining professionalism and accuracy.

    • Team-oriented, adaptable, dependable, and receptive to coaching.

    Success Measures

    • Consistent completion of assigned Right Reach outreach and follow-up activities.

    • Accurate, timely, and complete CenterPoint documentation.

    • Professional customer interactions and appropriate escalation of issues.

    • Ability to learn and perform designated cross-trained backup responsibilities.

    • Reliable attendance, organization, productivity, and teamwork.
