Job purpose

The Safety Data Sheet (SDS) Intern will support the development and implementation of Waukesha-Pearce Industries, Inc. (WPI)’s digital Safety Data Sheet (SDS) process. This position will help provide employees with timely and reliable access to current chemical safety information through approved company devices and systems. The internship will support the transition from paper-based SDS binders to a searchable digital SDS library organized by location, department, job site, and/or chemical inventory. The position will assist the HSE team with improving SDS accessibility, supporting Hazard Communication compliance, strengthening emergency response readiness, and reducing the administrative effort associated with maintaining paper SDS records.

Duties and responsibilities

  • Assist with building, organizing, and maintaining a digital Safety Data Sheet (SDS) library using an approved company platform, shared drive, database, or document management system.
  • Work with the HSE Project Manager to establish consistent naming conventions, folder structures, search tags, and document categories to improve accessibility and usability.
  • Compare SDS records against current chemical inventories and assist with identifying missing, outdated, duplicate, or otherwise unresolved SDS records.
  • Support the HSE team in maintaining employee access to current SDS information in accordance with applicable Hazard Communication requirements.
  • Assist with developing backup access procedures for employees who need SDS information at job sites, during internet interruptions, or in emergency situations.
  • Create user instructions, quick-reference guides, and training materials to help employees locate SDS information efficiently.
  • Work with the HSE Project Manager through Microsoft Teams to review and develop communication materials for branch managers, department leaders, job site contacts, and HSE personnel as part of the implementation and rollout process.
  • Assist with documenting the SDS management process, including system ownership, update frequency, review expectations, and ongoing maintenance responsibilities.
  • Provide periodic project updates to the HSE Project Manager regarding progress, identified gaps, challenges, and outstanding items.
  • Prepare a final project report summarizing project progress, accomplishments, identified gaps, compliance considerations, recommendations, and suggested next steps.
  • Maintain confidentiality of company information and follow WPI policies and procedures.
  • Complete an SDS inventory by assigned location, department, job site, and/or chemical grouping.
  • Assist with developing a searchable digital SDS library containing current documents that have been identified and uploaded in accordance with the established process.
  • Maintain a documented gap list identifying missing, outdated, duplicate, or unresolved SDS records and their status.
  • Assist with preparing a written SDS management procedure outlining access, maintenance, ownership, review frequency, and backup procedures.
  • Assist with developing an employee quick-reference guide explaining how to locate SDS documents using approved devices and systems.

Qualifications

Qualifications

  • High school diploma, GED, or equivalent.
  • Strong attention to detail and ability to organize large amounts of information accurately.
  • Basic proficiency with Microsoft Office applications, including Word and Excel.
  • Ability to learn and effectively use digital document management systems, databases, SharePoint, Teams, or similar technology.
  • Strong organizational and communication skills.
  • Ability to work independently while receiving direction and guidance from the assigned supervisor.
  • Ability to manage assigned project tasks and meet established deadlines.
  • Ability to work approximately 10 hours per week during the internship.
  • Current enrollment in Occupational Safety, Environmental Health and Safety (EHS), Industrial Hygiene, Business Administration, Information Management, or a related program.
  • Basic knowledge of workplace safety, chemical hazards, Safety Data Sheets, or regulatory compliance.
  • Experience with SharePoint, Microsoft Teams, Excel, databases, or document management systems.
  • Previous experience organizing digital records or information.

  • Ability to create clear, user-friendly instructions and reference materials.
  • Ability to work collaboratively with employees at various levels of the organization.
  • Ability to use Microsoft Office and learn new software and digital systems.
  • Ability to manage assigned tasks, prioritize work, and meet project deadlines.
  • Ability to ask questions, seek clarification, and apply feedback from the HSE Project Manager.
  • Ability to maintain confidentiality and handle company information appropriately.
  • Ability to analyze information and make appropriate recommendations based on identified gaps or opportunities for improvement.
  • Ability to maintain accurate records and follow established processes and procedures.

Working Conditions

  • Work schedule is Tuesday and/or Wednesday between the hours of 9:00 a.m. and 5:00 p.m.
  • Maximum of 10 hours per week.
  • Temporary, part-time internship with a project duration of approximately three months.
