The Sales Administrator plays an important role in supporting the smooth and efficient operation of the Singapore Commercial team and office. This role will provide a combination of sales administration, coordination and general office administration support.
The successful candidate will be highly organised, proactive and detail-oriented, with the ability to manage multiple priorities and work closely with internal stakeholders, customers and external partners. The role requires someone who is comfortable handling administrative tasks while also supporting the sales team in ensuring timely and accurate execution of day-to-day commercial activities.
What you’ll do:
Sales Administration & Commercial Support
- Provide day-to-day administrative support to the Sales and Commercial team.
- Prepare sales-related documents, reports, presentations, trackers and other supporting materials.
- Support the processing and coordination of customer orders, ensuring accuracy and timely follow-up.
- Maintain and update sales records, customer information, pricing, product and promotional details in relevant systems and trackers.
- Coordinate with internal teams, including Supply Chain, Finance, Customer Service and Marketing, to support smooth order fulfilment and resolve operational issues.
- Assist in monitoring sales performance, including the preparation and consolidation of sales reports and data.
- Support the tracking and administration of promotions, campaigns, rebates, claims and other commercial activities where applicable.
- Assist with the coordination of meetings, customer visits, business reviews and sales-related events.
- Maintain proper documentation and filing of commercial agreements, customer correspondence and other relevant records.
- Support the preparation and submission of internal requests, purchase orders, invoices and other administrative documentation.
- Follow up on outstanding actions and ensure timely communication with relevant stakeholders.
Office Administration & Coordination
- Support the smooth day-to-day operations of the Singapore office.
- Act as a key point of contact for general office-related matters and coordinate with relevant internal and external stakeholders.
- Manage office supplies, stationery and pantry requirements, ensuring adequate stock levels are maintained.
- Coordinate with building management, vendors and service providers on office maintenance, repairs and other facilities-related matters.
- Support the administration and coordination of office vendors, including quotations, purchase requests, invoices and payment-related documentation.
- Assist with organising internal meetings, town halls, team activities and company events.
- Support visitor management and ensure meeting rooms and common office areas are appropriately maintained.
- Assist with onboarding arrangements for new employees, including workstation, access cards, equipment and other administrative coordination.
- Support general documentation, filing and record-keeping to ensure information is properly maintained and easily accessible.
- Assist with travel, meeting and other administrative arrangements where required.
- Support the implementation of office policies, procedures and initiatives to maintain an efficient and positive workplace environment.
General Support
- Provide administrative support to the Singapore leadership team and other functions when required.
- Act as a coordination point between the Singapore office and relevant regional or Malaysia-based support teams.
- Support ad hoc projects, reporting and initiatives as assigned.
- Continuously identify opportunities to improve administrative processes, ways of working and overall efficiency.
- Ensure all activities are carried out in accordance with company policies, procedures and compliance requirements.
Qualifications:
· Diploma or Degree in Business Administration, Sales, Management or a related field.
· At least 2–4 years of experience in sales administration, commercial support, office administration or a similar role.
· Experience supporting a sales or commercial team will be an advantage.
· Strong administrative, organisational and coordination skills with excellent attention to detail.
· Comfortable managing multiple tasks and priorities in a fast-paced environment.
· Proficient in Microsoft Office, particularly Excel, PowerPoint and Word.
· Experience with ERP, CRM or other business systems would be an advantage.
· Good communication and interpersonal skills, with the ability to work effectively with stakeholders at different levels.
· A proactive, resourceful and hands-on approach to work.
· Ability to work independently while also being a strong team player.
