ROLE DESCRIPTION: Salesforce Administrator Department: Customer Success Reports to: Head of Customer Success Direct Reports: N/A Last Updated: May 2026 Role Purpose The purpose of this role is to enhance how Visualcare uses Salesforce across the Sales, Customer Success, and Help Desk teams. Partnering closely with these teams, this role assesses how each function uses the platform day-to-day, identifies opportunities to improve workflows, and designs and builds the automations, dashboards, and data structures needed to support efficient, data-driven operations. This role plays an important part in ensuring Salesforce is well configured, well used, and trusted as the single source of truth for customer, lead, and account information at Visualcare, and works with leadership across Sales and Customer Success to ensure platform investment translates into measurable business outcomes. What are the requirements/credentials of an ideal candidate · 4+ years working hands-on with Salesforce in a configuration, administration, or build capacity, ideally within a SaaS or technology-driven environment · Demonstrated experience customising Salesforce — including building flows, process automations, validation rules, page layouts, custom objects, and approval processes · Strong skills in designing and building dashboards and reports that support day-to-day operations and leadership decision-making across multiple business functions · Experience partnering with Sales, Customer Success, and/or Customer Support teams to understand their workflows and translate operational needs into well-scoped Salesforce solutions · Proven experience managing data quality in Salesforce — including data audits, deduplication, cleansing, and lead/contact enrichment · Salesforce Administrator certification - Advanced Administrator, Service Cloud Consultant, Sales Cloud Consultant, or Platform App Builder certifications highly regarded · Systems thinker with a strong workflow orientation — able to map how work flows across people, processes, and tools, and design solutions that hold up at scale · High attention to detail with a disciplined approach to testing, documentation, and change management · Excellent communication skills — able to partner with non-technical stakeholders, understand their workflows, and translate requirements into clear technical solutions · Comfortable working across competing priorities from multiple business functions, with the ability to triage and sequence work transparently Key areas of focus Key areas of focus This is achieved by % of time Workflow Discovery & Solution Design • Partner with the Sales, Customer Success, and Help Desk teams to understand how each function uses Salesforce day-to-day. • Identify inefficiencies, gaps, and opportunities to improve how Salesforce supports each team's workflows. • Propose practical, well-scoped solutions and prioritise them with the relevant team leaders based on impact and feasibility. • Document current-state and future-state workflows clearly enough for stakeholders to validate and the business to maintain. 30% Salesforce Configuration & Automation • Build and configure Salesforce solutions including flows, automations, validation rules, custom objects, and page layouts. • Implement workflow improvements that reduce manual handling and support faster, more consistent execution across Sales, Customer Success, and Help Desk. • Apply disciplined testing and change management practices to ensure changes are stable and well adopted. • Maintain clear technical documentation of configurations, automations, and design decisions. 35% Reporting & Dashboards • Design and build dashboards and reports that give Sales, Customer Success, Help Desk, and leadership clear visibility into performance. • Translate operational questions from each team into reports that support day-to-day decision-making (e.g. pipeline health, customer health, ticket volume, resolution times). • Ensure data captured in Salesforce is structured to support meaningful reporting across business functions. • Maintain and iterate on dashboards as team priorities and metrics evolve. 20% Data Cleansing & Enrichment • Conduct regular audits of Salesforce data to identify duplicates, gaps, and quality issues. • Lead routine data cleansing activities to maintain Salesforce as a trusted single source of truth. • Enrich customer records and lead lists with relevant supporting data to improve segmentation, targeting, and reporting. • Establish and maintain data quality standards, conventions, and processes that keep records clean over time. 15% Success measures · Salesforce workflows across Sales, Customer Success, and Help Desk are continuously improved, with regular delivery of scoped, well-tested enhancements · Dashboards and reports are actively used by each business function and leadership for day-to-day decision-making · Measurable improvements in operational efficiency (e.g. reduction in manual handling, improved resolution times, improved pipeline visibility) against baselines agreed with each team · Salesforce data quality is consistently maintained — duplicates, gaps, and stale records reduced over time against agreed standards · Customer and lead records are appropriately enriched to support segmentation, targeting, and reporting · Strong, trusted working partnerships with the Sales, Customer Success, and Help Desk teams, with clear and transparent prioritisation of competing requests
