Senior Accounts Payable Accountant
Role overview
SSP Innovations is hiring a Senior Accounts Payable Accountant to own our full procure-to-pay cycle, from purchase order approval through vendor payment and year-end 1099 reporting. You will be the go-to person for vendors and employees on anything AP, and the control point that keeps spend accurate, approved, and on time.
Reports to: Assistant-Controller
Location: Englewood, CO (hybrid, in office Tuesdays and Wednesdays)
Employment type: Full-time, exempt
Key responsibilities
Vendor onboarding and master data
Onboard new vendors: collect W-9s (or W-8s), banking details, insurance certificates, and contract terms.
Verify vendor identity and bank-detail changes through call-back procedures to prevent payment fraud.
Maintain a clean vendor master file, including deactivating inactive vendors and flagging duplicates.
Purchase order approval
Own the PO approval process: route requests to the right approvers, enforce approval limits, and confirm budget coding.
Match vendor invoices to approved POs, contracts, and statements of work, and confirm with budget owners that services were delivered before payment; resolve rate and billing discrepancies.
Track open POs, remaining contract balances, and software subscription renewals, and close out POs with budget owners.
Vendor invoice processing and payment
Review, code, and enter vendor invoices accurately and on time (including accurate treatment of prepaid expenses).
Prepare and run the weekly payment cycle by ACH, wire, check, and card, capturing early-payment discounts where available.
Respond to vendor inquiries and reconcile vendor statements.
Employee expense reports
Review employee expense reports for policy compliance, receipts, and correct GL coding.
Follow up with employees and managers on missing documentation or exceptions.
Process reimbursements and reconcile corporate card activity.
Month-end close and controls
Reconcile the AP subledger to the general ledger each month.
Prepare accruals for services performed but not yet invoiced, and maintain prepaid schedules for annual software and subscription payments.
Produce AP aging and cash requirements reports.
Support audits by pulling documentation and maintaining internal controls.
Document AP procedures and recommend process improvements and automation.
Other ad hoc functions
Processing of wires
Assisting with preparation of audit requests
Assisting with financial analysis
Year-end 1099s and tax compliance
Track 1099-reportable vendors throughout the year and confirm TINs.
Prepare and file 1099-NEC and 1099-MISC forms with the IRS and applicable states, and furnish recipient copies by the January 31 deadline.
Support sales and use tax review on vendor invoices as needed.
Qualifications
Required
Bachelor's degree in accounting or finance, or equivalent experience.
5+ years of full-cycle accounts payable experience, including owning AP processes end to end with minimal supervision.
Hands-on experience with PO matching, vendor setup, and payment runs.
Working knowledge of 1099 reporting requirements.
Experience with NetSuite or a comparable ERP system.
Intermediate Excel skills, including VLOOKUP/XLOOKUP and pivot tables.
Preferred
Experience with SuiteProjects Pro or another AP automation and expense tools.
Familiarity with GAAP accruals and month-end close.
Experience in a professional services or technology company.
Skills and competencies
Accuracy: catches coding errors, duplicate invoices and policy exceptions before they post.
Control mindset: follows segregation of duties and approval rules, and spots fraud red flags such as unverified bank changes.
Communication: explains policy clearly and courteously to vendors, employees, and managers.
Organization: manages recurring deadlines (weekly payment runs, month-end, January 1099s) without reminders.
Discretion: handles banking, tax ID, and employee reimbursement data confidentially.
Continuous improvement: looks for ways to automate and simplify manual steps.
Compensation and what we offer
Salary range: $70,000 – $85,000 per year, based on experience.
Benefits: Medical, dental, and vision insurance; 401(k) with match; paid time off and holidays.
Schedule: Standard business hours, with flexibility around month-end and year-end deadlines.
