Senior Administrative Assistant

Location: Toronto, ON – Hybrid, 4 days onsite / Friday remote

Duration: 6 months, with potential extension/conversion

Dates: October 19, 2026 – April 18, 2027

Hours: Monday–Friday, 8:30 AM–5:00 PM


Role Overview

Seeking a highly organized Senior Administrative Assistant to provide administrative and operational support across multiple teams within a fast-paced Investment & Corporate Banking environment. The role will focus on calendar management, travel coordination, expenses, reporting and providing flexible coverage across teams as business needs evolve.

Key Responsibilities

  • Manage calendars, meetings, conference rooms and scheduling requirements.
  • Coordinate domestic and international travel arrangements.
  • Prepare, submit and track expense reports and invoices.
  • Provide administrative support to senior leaders and their teams.
  • Coordinate meetings, departmental events and other business activities.
  • Prepare correspondence, presentations, reports and other documentation.
  • Gather and format information for regular and ad hoc reporting.
  • Maintain records, documentation and filing systems.
  • Coordinate staff training, vacation/absence tracking and other administrative requirements.
  • Liaise with internal teams and external vendors.
  • Provide flexible administrative coverage across multiple banking teams.
  • Identify opportunities to improve and streamline administrative processes.

Must-Have Qualifications

  • 1–3+ years of administrative or professional support experience, ideally supporting senior leaders.
  • Strong calendar, travel and expense-management experience.
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities within a fast-paced environment.
  • Strong Microsoft Office skills.
  • Professional, adaptable and comfortable supporting multiple teams and stakeholders.
  • Post-secondary education or equivalent relevant experience.

Nice-to-Have

  • Previous banking, financial services or professional services experience.
  • Experience supporting Investment or Corporate Banking teams.
  • Strong relationship-building and stakeholder-management skills.
  • Experience preparing reports, presentations and executive-level communications.
