Job Description:

Position Overview: Reporting to the Senior Director of Gift Planning, the Administrative Assistant supports the Office of Gift Planning and provides project and program support to the Major Gifts and International Advancement teams. The position plays an integral supporting role in planned gift administration, donor communications and stewardship, prospect research and proposal support, and special projects.


The position combines strong administrative and organizational skills with opportunities to develop experience in fundraising, donor engagement, communications, and advancement operations. The successful candidate will be a curious and proactive colleague with strong attention to detail and the ability to coordinate multiple projects, work independently within established responsibilities, and ensure accuracy and follow-through.

This full-time staff position has an anticipated schedule of 35 hours per week and is eligible for 22 days of vacation per year, three days personal leave, generous holiday time (including an extended winter break between Christmas Eve and New Year’s Day), sick leave, short- and long-term disability, life insurance, medical, dental, and vision, retirement, paid parental leave, tuition opportunities, and more. Waiting periods may apply. This position is eligible for a one-day remote/four-day onsite work schedule, with the remote day required for Mondays. Remote work is subject to college policy.


Position Responsibilities:

  • Assist with Gift Planning administration, including life income gifts, bequests, beneficiary designations, gift agreements, charitable solicitation compliance, and related donor documentation.
  • Support the coordination of Gift Planning programs and projects, including stewardship of Taylor Society legacy donors, donor outreach, marketing and communications, and other special initiatives.
  • Partner with colleagues on the Major Gifts and International Advancement teams to support prospect research, donor communications, stewardship, reporting, and selected projects.
  • Research and synthesize donor and prospect information, including giving history, interests, and engagement, to help inform donor strategy and next steps.
  • Support the development of donor and leadership materials, including correspondence, proposals, stewardship materials, briefings, reports, presentations, and materials for Board of Trustees meetings.
  • Maintain accurate donor, prospect, gift, and activity information in RENXT and other advancement systems and prepare reports as needed.
  • Support donor engagement by coordinating meetings, stewardship activities, events, and related logistics.
  • Coordinate assigned projects from planning through completion, helping to monitor deadlines, ensure accuracy and follow-through, and suggest opportunities for improvement.
  • Collaborate with colleagues across ARD and the College on fundraising, engagement, and other departmental priorities.
  • May perform other duties as assigned.

Qualifications:

  • Associate’s degree plus at least one (1) year of relevant professional experience in fundraising, higher education, nonprofit administration, communications, project coordination, or an equivalent combination of education and experience is required.
  • Strong organizational and project coordination skills, with the ability to manage multiple priorities and meet deadlines.
  • Effective written and verbal communication skills, including the ability to draft, edit, and proofread professional communications.
  • Careful attention to detail and a commitment to accuracy and quality control.
  • Demonstrated initiative, curiosity, and ability to work independently within established responsibilities while knowing when to seek guidance.
  • Ability to research and synthesize information and contribute thoughtful ideas and recommendations.
  • Ability to build positive working relationships and collaborate effectively with colleagues, donors, prospects, volunteers, and other members of the College community.
  • Ability to exercise discretion and maintain confidentiality.
  • Proficiency with Microsoft Office; experience with CRM/database systems preferred. Familiarity with RENXT is helpful but not required.
  • Interest in higher education and philanthropy and a desire to grow professionally in fundraising.
  • Successful completion of satisfactory background checks required.
