About the opportunity

Stonor Medical are working closely with a growing private healthcare provider to recruit an experienced Senior Healthcare Administrator / Business Manager to take ownership of its day-to-day administrative operations and support the continued development of its service.

This is an opportunity to join a specialist healthcare environment where excellent administration, attention to detail and a compassionate approach make a genuine difference to the experience of patients, families and clinicians. Working remotely as a key point of contact for patients and healthcare professionals, you will oversee a varied workload spanning enquiries, appointment coordination, clinical correspondence, financial administration and process improvement.

The role would suit an experienced healthcare administrator or medical secretary who enjoys working autonomously, takes pride in delivering an exceptional service and is ready to take on greater responsibility within a developing organisation.

You will combine hands-on administration with opportunities to improve systems, coordinate additional administrative support and grow into broader business management responsibilities.

Responsibilities

  • Patient and family liaison: Manage telephone and email enquiries, providing a professional, responsive and reassuring service.
  • Appointment coordination: Organise appointments, manage clinician diaries and coordinate bookings, changes and follow-up arrangements.
  • Patient administration: Maintain accurate, confidential records using a digital patient management system.
  • Clinical administration: Prepare correspondence, organise documentation and support clinicians with their administrative requirements.
  • Report preparation: Proof read and format clinical reports, checking spelling, grammar, consistency and presentation while referring queries about clinical content to the relevant author.
  • Financial administration: Raise invoices, monitor payments, follow up outstanding balances sensitively and maintain accurate financial records.
  • Operational ownership: Manage administrative workflows, anticipate issues and ensure actions are completed accurately and on time.
  • Process improvement: Identify opportunities to improve systems, procedures and ways of working as the organisation grows.
  • Team collaboration: Work closely with clinicians and colleagues, participate in regular online meetings and maintain clear communication across the team.
  • Administrative coordination: Where required, coordinate the work of contract administrators and help maintain consistent service standards.
  • Appropriate escalation: Recognise matters requiring clinical input and refer them promptly to the appropriate healthcare professional.

There are no immediate direct line-management responsibilities, although the opportunity to take on wider coordination and leadership responsibilities may develop as the organisation grows.

Essential skills and experience

We are looking for someone who can demonstrate:

  • Previous experience in healthcare administration or as a medical secretary.
  • Experience using digital patient management systems to maintain records and coordinate administrative processes.
  • Excellent organisational skills, exceptional attention to detail and the ability to prioritise a varied workload.
  • Strong written and verbal communication skills, with a professional, empathetic and reassuring approach.
  • A commitment to high service standards, accuracy, responsiveness and reliable follow-through.
  • The ability to work independently in a fully remote environment while communicating effectively with colleagues.
  • Initiative, sound judgement and the confidence to resolve routine issues while recognising when to seek guidance.
  • Experience handling confidential patient information with discretion and professionalism.
  • A proactive approach to taking ownership, improving processes and supporting the effective running of a healthcare service.

Desirable experience

The following would be advantageous:

  • Experience within mental healthcare or services supporting children, young people and families.
  • Experience in private healthcare.
  • Familiarity with accounting software such as Xero.
  • Experience with digital patient management systems; familiarity with specific healthcare platforms would be beneficial.
  • Experience improving administrative processes or helping manage the day-to-day operations of a service.
  • Experience coordinating, supporting or supervising other administrative professionals.

What's on offer?

  • Fully remote working, with flexibility around working patterns.
  • Permanent employment with hours to suit either three or five working days per week.
  • A varied and responsible position within a growing private healthcare organisation.
  • Regular online team meetings and close working relationships with healthcare professionals.
  • The opportunity to make a meaningful contribution to patient and family experience through excellent administration.
  • Scope to develop broader operational, administrative and business management responsibilities as the organisation evolves.
  • A salary of £30,000–£40,000 per annum, depending on experience, pro rata for part-time hours.
  • Potential for salary progression as your experience, skills and responsibilities develop.

Interested?

If you are an experienced healthcare administrator or medical secretary looking for a fully remote role with greater autonomy, meaningful responsibility and the opportunity to grow into business management, we would love to hear from you.
