Tringrove Industries delivers concrete, formwork and reinforcement packages across Tasmania. As our business grows and takes on larger and more complex projects, we are strengthening the commercial systems and project support behind our teams.
We are seeking an experienced construction Contract Administrator who can connect what happens on site with what needs to be documented, communicated and administered under our contracts.
Working closely with the Head of Projects and Head of Operations, the Senior Contract Administrator will take ownership of day-to-day contract administration across our projects.
The role ensures contractual obligations are understood, changes are captured accurately, notices and claims are submitted within required timeframes, and completed work is supported by clear records.
This position can be performed remotely and does not require attendance at site meetings. Strong communication and proactive follow-up with internal teams are essential.
Contract review and administration
- Review contracts, scopes of work, exclusions, specifications and tender handover information to understand Tringrove’s obligations and entitlements.
- Identify key commercial risks, notice requirements, submission deadlines and approval processes.
- Maintain contract registers, correspondence records and a calendar of contractual deadlines.
- Help project and trade teams understand requirements affecting their work.
- Escalate contractual risks and disputed matters early, with clear recommendations for management.
- Proactively identify changes to scope, additional work, delays, disruptions and other events requiring a contractual notice or claim.
- Prepare and submit notices of intention to claim, variation notices, delay notices, extension-of-time submissions and supporting claims, as applicable to each contract.
- Coordinate with supervisors and trade teams to obtain instructions, labour hours, plant use, materials, quantities, photographs and supporting evidence.
- Coordinate pricing inputs with project delivery, estimating and finance personnel.
- Prepare variation submissions explaining the change, its cause, contractual basis, cost and program impact.
- Maintain variation and claims registers, tracking each item through submission, assessment, approval and payment.
- Follow up outstanding submissions and support management in resolving disputed or undervalued items.
- Maintain regular contact with concrete, formwork and reinforcement teams to understand progress, constraints and changes.
- Obtain project updates and supporting records through phone, email, Teams and company systems.
- Help teams recognise when an instruction or event needs to be recorded and escalated.
- Reconcile project records with submitted claims and variations.
- Work closely with the Head of Projects and Head of Operations to agree priorities, resolve information gaps and address commercial risks.
- Participate in internal coordination and commercial reviews remotely as required.
- Act as a professional point of contact for client contract administrators, project managers and commercial teams.
- Prepare accurate contractual correspondence and maintain a traceable communication record.
- Manage submissions and correspondence through platforms such as Aconex, Procore and client-specific systems.
- Raise and track requests for information, instructions and approvals.
- Ensure relevant drawing revisions, instructions and client responses reach the appropriate internal teams.
- Prepare progress claims supported by measured work, agreed milestones and relevant records.
- Track claim assessments, payment schedules, retention and outstanding amounts with finance.
- Identify differences between amounts claimed, assessed and paid, and coordinate follow-up.
- Report on variations, claims, outstanding approvals, upcoming deadlines and commercial exposure.
- Support final account preparation, retention release and project close-out.
- Improve templates and processes for notices, variations, project records, claims and reporting.
- Establish practical documentation standards that trade teams can use consistently.
- Capture lessons from completed projects to improve tender reviews, handovers and delivery.
- Demonstrated contract administration experience within construction, including independently managing notices, variations and progress claims.
- Strong understanding of construction sequencing, trade activities and the relationship between labour, plant, materials and cost.
- Experience interpreting construction contracts and identifying notice requirements, time bars and supporting evidence.
- Proven ability to prepare clear, well-supported commercial submissions.
- Confidence communicating with both hands-on trade teams and client commercial representatives.
- Practical experience using Aconex or comparable construction correspondence and document management platforms.
- Strong written communication, attention to detail and follow-through.
- Proficiency in Microsoft Excel and Microsoft 365.
- Ability to manage competing deadlines across multiple projects.
- Ability to work independently and remain responsive and accountable in a remote working environment.
- Experience with concrete, formwork, reinforcement, civil works or structural trade packages.
- Experience working for a specialist subcontractor delivering packages to head contractors.
- Relevant qualifications in construction management, quantity surveying, contract administration or a related discipline.
- Experience supporting extension-of-time and disruption claims.
- Experience improving commercial administration systems within a growing construction business.
We are looking for someone who:
- Takes ownership and follows matters through to resolution.
- Proactively identifies issues and gathers information.
- Asks direct questions and challenges incomplete records constructively.
- Builds productive relationships while representing Tringrove’s commercial interests.
- Remains organised and composed under pressure.
- Exercises sound judgement and knows when to escalate.
- Values accurate records, practical systems and clear accountability.
- Required notices and submissions are issued within contractual timeframes.
- Variations are identified early, supported by evidence and followed through.
- Progress claims are accurate, complete and submitted on time.
- Management has clear visibility of outstanding claims, approvals and commercial risks.
- Trade teams understand what information to capture and when to escalate changes.
- Client correspondence and project records are complete, accessible and traceable.
- Final accounts and project close-out are progressed promptly.
The Senior Contract Administrator is accountable for the accuracy, completeness and timely coordination of contract administration.
Settlement agreements, acceptance of contractual amendments, waiver of entitlements and financial commitments must remain within Tringrove’s delegated authority limits and receive the required management approval.
