The Role

We are seeking an experienced Senior Dispatcher to lead daily dispatch operations, coordinate drivers and vehicles, monitor transportation activities, manage delivery schedules, and resolve operational exceptions. The role will serve as a key coordination point between drivers, customers, warehouses, carriers, transportation teams, and management.

The ideal candidate will bring strong dispatch experience, excellent communication skills, operational judgment, and the ability to make fast, practical decisions in a high-volume and time-sensitive environment.

Key Responsibilities
  • Lead daily dispatch operations and coordinate transportation activities across assigned routes, vehicles, drivers, and delivery schedules.
  • Develop and optimize daily dispatch plans based on customer requirements, delivery windows, vehicle availability, driver availability, route conditions, and operational priorities.
  • Assign drivers, vehicles, routes, shipments, and delivery tasks according to operational requirements.
  • Coordinate pickups, deliveries, transfers, returns, collections, and other transportation activities.
  • Monitor driver and vehicle status throughout the operating day.
  • Track departures, arrivals, loading, unloading, delivery progress, delays, and route completion.
  • Maintain continuous communication with drivers, transportation teams, warehouses, customers, and other operational stakeholders.
  • Provide drivers with accurate route, shipment, delivery, and customer instructions.
  • Monitor GPS, fleet-management, telematics, TMS, dispatch, and transportation systems.
  • Identify delays, missed appointments, route deviations, breakdowns, and other operational exceptions.
  • Take immediate action to minimize the impact of transportation disruptions.
  • Reassign drivers, vehicles, routes, or shipments when operational circumstances change.
  • Coordinate replacement vehicles and drivers when required.
  • Escalate serious delays, incidents, accidents, breakdowns, and service failures to the appropriate teams.
  • Coordinate with maintenance teams regarding vehicle breakdowns, defects, inspections, and roadworthiness issues.
  • Ensure drivers receive appropriate instructions regarding vehicle defects and operational restrictions.
  • Coordinate with warehouse teams to align loading, staging, dispatch, and departure schedules.
  • Monitor loading readiness and ensure vehicles are dispatched with the correct shipments and documentation.
  • Verify shipment details, delivery addresses, customer instructions, delivery windows, and special handling requirements.
  • Coordinate proof-of-delivery requirements and ensure completed delivery information is captured accurately.
  • Monitor unsuccessful deliveries, refused shipments, customer absences, incorrect addresses, and other delivery exceptions.
  • Arrange redelivery, return-to-origin, alternate delivery, or other corrective actions where appropriate.
  • Maintain accurate dispatch records, driver logs, route information, incident records, and operational documentation.
  • Ensure dispatch information is updated promptly in relevant systems.
  • Coordinate with customer service teams regarding delivery status, delays, estimated arrival times, and service exceptions.
  • Provide accurate and timely updates to customers and internal stakeholders when required.
  • Monitor driver compliance with dispatch instructions, scheduled routes, delivery procedures, and operational policies.
  • Support compliance with transportation, safety, working-time, vehicle, and company requirements.
  • Monitor driver hours, shift schedules, breaks, and operational availability where applicable.
  • Coordinate shift handovers and ensure outstanding issues are communicated clearly between dispatch teams.
  • Prepare daily dispatch schedules, workload plans, route assignments, and operational handover information.
  • Monitor transportation capacity and identify potential resource shortages before they affect service.
  • Coordinate additional vehicles, third-party carriers, or temporary transportation resources when required.
  • Balance workload across available drivers and vehicles to improve utilization and service performance.
  • Optimize routes and schedules to reduce unnecessary mileage, waiting time, fuel consumption, and operating costs.
  • Monitor traffic, weather, road closures, restricted-access areas, and other conditions affecting transportation.
  • Coordinate alternative routes and revised delivery plans when conditions change.
  • Support emergency dispatch requirements and urgent transportation requests.
  • Maintain effective communication during accidents, vehicle breakdowns, severe weather, security events, and other operational emergencies.
  • Coordinate with emergency services, fleet teams, safety personnel, and management when required.
  • Monitor transportation service levels and identify recurring operational problems.
  • Analyze dispatch performance, route efficiency, delivery delays, driver utilization, and service failures.
  • Prepare daily, weekly, and monthly dispatch reports and operational dashboards.
  • Identify opportunities to improve dispatch procedures, route planning, communication, and resource utilization.
  • Support the implementation and optimization of transportation management and dispatch technologies.
  • Maintain accurate driver, vehicle, carrier, route, customer, and shipment master data.
  • Coordinate with third-party carriers and transportation service providers where applicable.
  • Monitor carrier performance against agreed schedules, service levels, documentation requirements, and operational standards.
  • Assist with carrier issue resolution and corrective actions.
  • Support transportation cost monitoring, including fuel, mileage, third-party transportation, waiting time, and additional service costs.
  • Review dispatch-related invoices and supporting records where applicable.
  • Maintain accurate records for transportation claims, damaged shipments, missed deliveries, and service incidents.
  • Support incident investigations and provide dispatch records, timelines, communications, and relevant operational evidence.
  • Train and coach dispatchers and transportation coordinators on procedures, systems, communication standards, and escalation processes.
  • Provide guidance to dispatch teams during high-volume periods, operational disruptions, and complex transportation situations.
  • Promote a proactive, customer-focused, safety-conscious, and service-oriented dispatch culture.
  • Provide management with recommendations regarding capacity, route efficiency, service performance, operational risks, and process improvements.

Ideal Candidate

The successful candidate should have strong experience in dispatch operations, transportation coordination, fleet operations, logistics, delivery management, distribution, or transport control environments, preferably within a high-volume or geographically distributed operation.

The candidate should demonstrate:

  • Proven experience in dispatching drivers, vehicles, shipments, or field-service resources.
  • Strong understanding of transportation planning, routing, scheduling, and delivery operations.
  • Experience coordinating multiple drivers, vehicles, routes, and priorities simultaneously.
  • Strong knowledge of dispatch, fleet-management, TMS, GPS, telematics, or logistics systems.
  • Excellent real-time problem-solving and decision-making capabilities.
  • Strong understanding of delivery windows, route constraints, customer requirements, and operational dependencies.
  • Experience managing transportation exceptions, delays, breakdowns, missed deliveries, and urgent requests.
  • Strong communication skills with drivers, customers, warehouses, carriers, and internal teams.
  • Ability to remain calm and organized in high-pressure and rapidly changing situations.
  • Strong geographical and route-planning awareness.
  • Understanding of transportation safety requirements and driver compliance.
