About the Role

We're looking for a Senior Employee Relations & Compliance Specialist who brings strong employee relations experience, sound judgment, and a practical, business-minded approach to HR.

In this role, you'll support employees and business leaders through performance and conduct concerns, workplace conflicts, and other employee relations matters. You'll need to be comfortable navigating difficult conversations, working with different personalities, and responding to situations that require urgency, discretion, and empathy.

You'll work closely with HR leadership to understand business needs, apply company policies consistently, and help identify practical solutions. We value people who listen first, communicate clearly, and understand how to balance employee needs with the realities of running a business.

You'll also coordinate and execute HR compliance administration, including leaves of absence and accommodations, audits, state registrations, regulatory filings, benefits and payroll compliance reporting, and employee recordkeeping in ADP.

This is a hands-on position for someone who enjoys taking ownership of their work, staying organized, and keeping things moving. You'll independently handle established processes and routine matters while partnering with HR leadership on situations requiring additional judgment or escalation.

Key Responsibilities

Employee Relations & Performance Support

  • Serve as a primary point of contact for routine employee relations matters, including conduct, attendance, performance, interpersonal conflicts, and workplace concerns.

  • Partner with business leaders to understand employee challenges, operational needs, and desired outcomes before recommending next steps.

  • Support performance management processes, including coaching documentation, performance improvement plans, corrective actions, and separations.

  • Conduct initial fact-finding, gather relevant information, and support workplace investigations under HR leadership's guidance.

  • Help establish clear expectations and ensure employee relations matters are documented and followed through appropriately.

  • Navigate difficult conversations and challenging situations with confidence, empathy, professionalism, and objectivity.

  • Provide clear, concise guidance on established HR policies and procedures, offering practical options when appropriate.

  • Recognize sensitive, complex, or high-risk matters and escalate them promptly to HR leadership.

  • Maintain accurate, confidential employee relations case records and track matters through resolution.

HR Compliance Administration

  • Coordinate recurring federal, state, and local HR compliance activities, ensuring deadlines and documentation requirements are met.

  • Administer state employer registrations, renewals, and related compliance requirements.

  • Coordinate benefits compliance reporting, including Form 5500, ACA reporting, required notices, and supporting documentation.

  • Support payroll compliance administration, including recordkeeping, payroll audits, regulatory documentation, and reporting.

  • Coordinate workers' compensation renewals, audits, and related administrative requirements.

  • Prepare documentation and support internal and external audits, tracking requests, findings, and follow-up actions.

  • Maintain and manage an HR compliance calendar covering regulatory filings, reporting deadlines, renewals, and audits.

  • Administer and coordinate employee leaves of absence, including FMLA, ADA-related leave, state-specific leave programs, and company leave policies.

  • Serve as the primary point of contact for leave requests, coordinating with employees, managers, and third-party leave administrators to ensure timely communication, documentation and follow-through.

  • Track leave status, required notices, certifications, deadlines, and return-to-work processes, escalating complex accommodation or compliance matters to HR leadership.

  • Support employee lifecycle compliance, including I-9 verification, personnel records, onboarding and offboarding documentation, and required notices.

  • Identify potential compliance gaps or inconsistencies and escalate concerns to HR leadership.

  • Maintain organized compliance records, procedures, and supporting documentation.

HR Systems & Administrative Support

  • Maintain accurate, complete, and organized employee information within ADP and other HR systems.

  • Conduct routine employee data audits, identify discrepancies, and coordinate corrections.

  • Support benefits and payroll administration through documentation, data validation, and compliance reporting.

  • Assist with HR reporting, data collection, and preparation of information for internal reviews and audits.

  • Maintain organized personnel files, employee relations records, and compliance documentation.

  • Support improvements to administrative workflows, documentation, and process efficiency.

  • Collaborate with the HR Coordinator on routine administrative tasks, ensuring timely and accurate completion.

Skills, Knowledge & Experience

  • Bachelor's degree in human resources, Business Administration, or a related field preferred, or equivalent relevant experience.

  • 4+ years of progressive HR experience, including hands-on employee relations and HR compliance responsibilities.

  • Experience supporting employee conduct, attendance, performance management, workplace conflicts, and other employee relations matters.

  • Experience preparing corrective action documentation, supporting investigations, and coordinating employee separations.

  • Strong interpersonal skills and confidence navigating difficult conversations while maintaining professionalism and empathy.

  • Practical business judgment with the ability to understand operational needs, apply established policies, and recommend workable solutions.

  • Strong active listening skills and the ability to communicate recommendations clearly, concisely, and respectfully.

  • Ability to recognize urgent matters, prioritize responsibilities, and follow through without repeated direction.

  • Working knowledge of federal and multi-state employment regulations, including FLSA, FMLA, ADA, EEOC requirements, and applicable wage and hour laws.

  • Experience supporting HR compliance activities, audits, regulatory filings, and employment documentation.

  • Familiarity with Form 5500, ACA reporting, workers' compensation, and state registrations preferred.

  • Experience with HRIS platforms, preferably ADP, and proficiency in Excel and HR data management.

  • Strong organizational skills, attention to detail, and the ability to manage multiple deadlines.

  • High degree of discretion and professionalism when handling confidential employee information.

  • Collaborative, flexible, and solutions-oriented approach, with the judgment to know when additional guidance or escalation is needed.

Role Expectations

  • Independence - Independently handles established processes and routine to moderately complex issues.

  • Employee Relations - Leads routine casework; supports more sensitive investigations and decisions.

  • Business Partnership - Understands leader needs and recommends practical options within established guidelines.

  • Compliance - Owns execution, tracking, documentation, and recurring administration.
