What You’ll Do

You will report to the VP & GM EU West and work closely with colleagues across departments and countries, including Finance, as well as external partners and service providers, to help a growing international business run effectively. Your primary purpose will be to provide senior executive and personal support to the VP & GM EU West and to manage the day-to-day operations of our Paris-region office. You will manage a complex calendar, international travel and correspondence in English and French, oversee office operations and suppliers, and coordinate cross-functional activities supporting business growth and upcoming commercial launches. This role requires sound judgment, absolute discretion and effective collaboration with internal and external stakeholders. The ideal candidate is a proactive, highly organized professional who enjoys taking ownership, anticipating needs and working in a fast-paced, hands-on environment.

Responsibilities

  • Executive support: Manage a complex calendar, prioritize requests and coordinate meetings across different departments and countries, and organize international travel, detailed itineraries and expense reporting
  • Communication and follow-up: Prepare meeting agendas, briefing materials, presentations and correspondence in English and French, capture key decisions and track action items with stakeholders, and act as a trusted point of contact for internal teams and external partners, exercising sound judgment and discretion
  • Office management: Oversee day-to-day office operations, suppliers, service providers, purchasing and administrative follow-up, and coordinate office-related expenditure and invoices with Finance
  • Team and process support: Organize team meetings, company events and onboarding logistics, and improve administrative processes with practical ways to make everyday work more efficient
  • Project coordination: Coordinate cross-functional activities supporting business growth and upcoming commercial launches, maintain project trackers and monitor deadlines and deliverables, and anticipate bottlenecks, flag issues early and keep stakeholders aligned
  • Personal assistance: Provide discreet support with personal scheduling, appointments, travel and agreed administrative matters

Where You’ll Work

  • This is a 12-month fixed-term contract (CDD) based in the Paris region, France, with the intention of transitioning to a permanent position (CDI)
  • The preferred start date is as soon as possible

Who You Are

  • Around 10 years of relevant experience, including substantial experience supporting a senior executive in an international environment
  • Absolute discretion, integrity and sound judgment when handling sensitive business and personal information, together with strong interpersonal skills and confidence working with senior stakeholders across cultures and functions
  • Strong command of Microsoft 365, particularly Outlook, Teams, PowerPoint, Excel and SharePoint, and confidence learning new digital tools. Familiarity with travel and expense platforms and project coordination tools would be an advantage
  • Experience in pharmaceuticals, biotechnology or life sciences would be a strong asset, particularly in a growing organization or commercial launch environment
  • A proactive approach: you anticipate needs, take initiative and propose practical solutions, with reliability, ownership and consistent follow-through
  • Exceptional organizational skills, attention to detail and the ability to prioritize competing demands, with adaptability and composure when priorities change.
  • Full professional fluency in French and English, with excellent written and verbal communication skills in both languages
