About You:
Experience: Several years managing HR operations, HR administration, or a comparable generalist role with your own area of responsibility.
Employment Law & Compliance: Solid working knowledge of employment law and payroll-related compliance in at least one of our markets (Poland, Germany or Switzerland), with confidence to work with local advisers on others.
Payroll Experience: Hands-on experience in payroll preparation and working with Finance teams and external payroll providers.
Ownership Mindset: You make decisions at your level independently, take initiative, ask targeted questions, and escalate only when truly needed.
Proactive Problem-Solver: You spot process problems yourself and bring structured proposals. You see processess and think "how can we enhance this?"
Fluent English: You can communicate clearly across a distributed, multi-market team.
Job Responsibilities:
Lifecycle Administration: Own employee lifecycle processes end-to-end – onboarding administration, contract management, changes and documentation, offboarding, and employment confirmations & references – including complex, non-standard cases.
Payroll & Benefits: Ensure smooth, accurate monthly payroll preparation across markets, working closely with Finance and external payroll providers. Own benefits and pensions administration, including provider management and invoicing.
Family Leave Processing: Own family leave administration – statutory calculations, payroll notifications, documentation – and manage handover points to our People Experience team for the employee conversation.
Audit & Compliance: Drive audit readiness and own monthly compliance routines (right to work, visas, HRIS data quality, onboarding compliance). Support audits and queries with local advisers where needed.
Employee Support: Act as the senior point of contact for employees and managers on People policies and processes. Resolve escalations and complex queries independently.
Process Design & Documentation: Actively develop, standardize, and document global People processes and policies, and respond quickly to changing requirements.
Self-Service & Efficiency: Maintain and optimize our People Portal and ticket-based support systems to strengthen employee self-service. Support automation and AI improvements.
Coaching & Mentoring: Guide and support other People Architecture Specialists on complex cases and process questions.
