About UsWe are a construction-focused organization committed to delivering complex projects through disciplined contract management, operational excellence, risk control, and collaborative project delivery. Our distributed teams collaborate across Project Management, Construction, Engineering, Procurement, Commercial, Legal, Finance, Human Resources, Design, Quality, HSE, Consultants, Contractors, Suppliers, Logistics, Administration, Information Technology, and Executive Leadership to maintain reliable operations, optimize resource utilization, control costs, and support uninterrupted project delivery. We value accountability, strategic planning, continuous improvement, and effective supply chain management across all business functions.
The RoleWe are seeking an experienced Senior Spare Parts Planning Specialist to oversee spare parts forecasting, inventory planning, replenishment strategies, demand analysis, stock optimization, and material availability across construction, engineering, maintenance, equipment, and operational environments. The successful candidate will ensure that critical spare parts are available when needed while minimizing excess inventory, reducing stockout risks, improving inventory turnover, and controlling procurement and storage costs.
This role requires strong expertise in materials planning, maintenance requirements forecasting, inventory optimization, supplier coordination, procurement planning, and spare parts lifecycle management. The ideal candidate will collaborate with Maintenance, Engineering, Procurement, Warehouse Operations, Logistics, Finance, Project Management, and external suppliers to maintain optimal stock levels, support equipment reliability, and improve supply chain performance across the organization.
Key Responsibilities- Develop, implement, and maintain comprehensive spare parts planning strategies aligned with operational requirements and business objectives.
- Forecast spare parts demand based on historical consumption, maintenance schedules, equipment utilization, project requirements, and asset criticality.
- Analyze spare parts usage patterns to identify recurring demand, seasonal variations, abnormal consumption, and emerging inventory requirements.
- Prepare short-term, medium-term, and long-term spare parts demand forecasts.
- Coordinate with Maintenance and Engineering teams to anticipate spare parts requirements for preventive, predictive, and corrective maintenance activities.
- Translate maintenance plans, equipment service schedules, and work orders into accurate material demand requirements.
- Identify critical spare parts required to maintain the availability and reliability of essential equipment and infrastructure.
- Establish appropriate minimum stock, maximum stock, reorder point, and safety stock parameters for individual spare parts.
- Calculate economic order quantities and replenishment quantities based on demand patterns, supplier lead times, carrying costs, and procurement constraints.
- Develop inventory policies that balance service levels, equipment availability, working capital, and inventory holding costs.
- Classify spare parts according to criticality, value, consumption frequency, lead time, and operational risk.
- Apply ABC, XYZ, and other appropriate inventory classification methodologies to support differentiated planning strategies.
- Identify slow-moving, non-moving, obsolete, excess, and surplus spare parts and recommend appropriate corrective actions.
- Review stock levels regularly to identify shortages, potential stockouts, excess quantities, and opportunities for inventory optimization.
- Monitor inventory availability for critical assets, high-risk equipment, and project-specific operational requirements.
- Establish and maintain effective replenishment processes for routine, emergency, and project-related spare parts demand.
- Generate purchase requisitions and replenishment recommendations based on approved planning parameters and demand forecasts.
- Coordinate with Procurement to ensure planned orders are initiated within required lead times.
- Review open purchase orders, supplier commitments, delivery schedules, and outstanding material requirements.
- Monitor supplier lead times and incorporate actual delivery performance into inventory planning models.
- Identify long-lead-time components that require advance purchasing, strategic stocking, or alternative sourcing arrangements.
- Coordinate with suppliers to validate availability, delivery commitments, minimum order quantities, and product discontinuation risks.
- Work with Procurement to evaluate supplier reliability, commercial terms, order flexibility, and replenishment options.
- Identify opportunities to consolidate orders, optimize order quantities, reduce freight expenses, and improve procurement efficiency.
- Support sourcing decisions by providing demand forecasts, historical consumption data, stock availability, and future material requirements.
- Maintain accurate spare parts inventories covering equipment components, mechanical parts, electrical components, hydraulic parts, consumables, and other maintenance materials.
- Support spare parts planning for construction machinery, heavy equipment, vehicles, generators, pumps, compressors, tools, and facility systems.
- Coordinate with Engineering and Technical teams to verify spare parts specifications, equipment compatibility, manufacturer references, and approved alternatives.
- Ensure spare parts are correctly associated with equipment models, asset identification numbers, bills of materials, and maintenance records.
- Review equipment bills of materials to confirm that required spare parts are identified and adequately planned.
- Identify missing, duplicated, outdated, or inaccurate spare parts records and coordinate master data corrections.
- Maintain accurate part numbers, descriptions, manufacturer details, technical specifications, units of measure, and supplier information.
- Support the standardization of spare parts descriptions, coding structures, and inventory classification rules.
- Identify interchangeable components and technically approved substitutes to improve availability and reduce inventory duplication.
- Coordinate with Engineering to validate alternative parts before recommending substitution.
- Assess the risks associated with non-standard components, discontinued parts, and changes in equipment specifications.
- Maintain records of equipment obsolescence, spare parts discontinuation notices, and end-of-life component risks.
- Develop contingency plans for critical spare parts that are difficult to source or have extended procurement lead times.
- Coordinate with Maintenance teams to determine criticality levels and establish appropriate stocking strategies for high-impact components.
- Review historical equipment failures and maintenance incidents to improve spare parts demand forecasting.
- Analyze maintenance work order history to identify recurring component replacements and opportunities for preventive stocking.
- Support reliability-centered maintenance initiatives by aligning spare parts availability with asset reliability requirements.
- Evaluate the potential operational impact of spare parts shortages on equipment downtime, project schedules, and service continuity.
- Prioritize material availability for emergency repairs, critical breakdowns, planned shutdowns, and high-priority maintenance activities.
- Coordinate urgent replenishment activities with Procurement, Logistics, Warehouse Operations, and suppliers.
- Monitor emergency spare parts requests and investigate recurring causes of unplanned demand.
- Recommend appropriate contingency stock for critical assets where supply interruptions could significantly affect operations.
- Establish escalation procedures for critical stockouts, delayed deliveries, and high-risk material shortages.
- Maintain visibility of available stock, allocated inventory, reserved materials, incoming deliveries, and outstanding demand.
- Coordinate stock allocation across warehouses, projects, sites, and operational departments based on approved priorities.
- Identify opportunities to transfer excess stock between locations before initiating new procurement.
- Support inter-site inventory balancing and redistribution strategies to improve overall stock utilization.
- Review spare parts requirements for new construction projects, equipment installations, facility expansions, and major maintenance programs.
- Prepare initial spare parts lists and stocking recommendations for newly commissioned equipment and assets.
