Company: Nao Medical

Location: Remote (India or Philippines)

Job Type: Full-Time

Salary Range: $10,000 - $15,000 per year

About the Company

Nao Medical is a modern healthcare provider serving communities across New York with primary care, urgent care, occupational health, and wellness services. We combine tech-forward solutions with compassionate, accessible care for our patients and streamlined corporate health services for our B2B partners.

Position Overview

Nao Medical is seeking an experienced, hands-on Senior Accountant to manage day-to-day accounting, complex reconciliations, monthly close, and financial reporting across multiple U.S. healthcare entities. Operating as the operational and analytical backbone of our multi-entity finance operations (encompassing approximately 12–13 clinic locations), this is not a data-entry-only role; it requires deep mastery of U.S. GAAP, QuickBooks Online (QBO), group consolidations, intercompany eliminations, and accrual-to-cash tax conversion workpapers.

Reporting directly to the CFO and U.S. finance leadership, you will independently maintain accurate books, investigate unusual or unsupported balances, ensure audit-ready workpapers, and bridge clinical revenue cycles with rigorous corporate accounting standards.

Why Join Nao Medical

  • Direct Impact: Play a pivotal role in maintaining financial integrity, audit readiness, and cash-flow visibility for our rapidly growing network of multi-specialty healthcare clinics.

  • Multi-Entity Ownership: Own end-to-end accounting processes, from day-to-day transaction coding to complex intercompany eliminations, ASC 842 lease schedules, and consolidated financial statements.

  • Executive Collaboration: Work directly with our CFO, external U.S. tax accountants, and auditors, gaining high-visibility experience in healthcare finance and U.S. GAAP standards.

  • Supportive Environment: Receive direct collaboration and mentorship within an innovative, tech-driven healthcare organization that values ownership and analytical problem-solving.

Job Details

Primary Responsibilities

  • General Ledger & Daily Accounting Operations

    • Maintain accrual-basis books in QuickBooks Online (QBO) in strict accordance with U.S. GAAP.

    • Post and review daily journal entries, receipts, vendor invoices, accruals, prepayments, adjustments, and reclassifications with precise entity, GL, class, and location coding.

    • Manage full-cycle Accounts Payable (AP), including vendor invoice validation, approvals, payment runs, AP aging reviews, vendor statement reconciliations, and maintenance of W-9 / Form 1099 support.

    • Coordinate directly with U.S. suppliers, operational teams, and banking partners to resolve billing or payment discrepancies.

  • Healthcare Revenue, AR & Payroll Accounting

    • Review healthcare billing reports and reconcile patient/insurance receipts, deposits, refunds, Central Billing Office (CBO) records, and accounts receivable aging.

    • Track receivables in transit and clearing accounts, ensuring unapplied collections are resolved and preventing duplicate revenue recognition.

    • Reconcile payroll registers, bank debits, employer payroll taxes, and liabilities processed via UKG; account for 401(k), Section 125, and healthcare benefit deductions across locations and classes.

  • Balance Sheet Reconciliations & Asset Schedules

    • Complete monthly reconciliations for all bank and credit card accounts.

    • Maintain documented supporting balance sheet schedules for AR/AP, prepaids, accrued expenses, fixed assets, depreciation, loans, and lease/right-of-use (ROU) assets under ASC 842.

  • Location Profitability, Multi-Entity Consolidations & Tax Conversion

    • Track class-wise and location-level profitability by accurately assigning direct expenses, payroll, and revenues; allocate CBO and corporate overhead using approved methodologies.

    • Reconcile intercompany loans, advances, payables/receivables, and reciprocal transactions, maintaining clear reconciliation schedules.

    • Prepare consolidated/combined P&L, balance sheet, and cash-flow statements, executing and documenting required intercompany elimination entries while preserving standalone entity records.

    • Maintain robust rolling accrual-to-cash conversion workpapers for entities utilizing cash-basis tax reporting (Forms 1120-S / 1065), reconciling timing differences, deferred items, and prior-year tax support in coordination with external U.S. tax accountants.

  • Monthly Close, Audit Support & Banking Controls

    • Own the monthly close schedule (first cut by the 10th, finalized financials by the 15th), executing closing checklists, variance analyses, and GL-to-schedule ties.

    • Prepare audit-ready trial balances, GL extracts, and documentation; interface directly with auditors, answer technical accounting queries, and implement approved audit adjustments through completion.

    • Support monthly borrowing certificates, quarterly lender reporting, and debt covenant/financial-ratio calculations based on banking agreements.

    • Adhere strictly to internal financial controls, HIPAA compliance guidelines, and data security standards when handling corporate and healthcare records.

Job Requirements

  • Education & Qualifications:

    • Bachelor’s degree in Accounting, Finance, or a related field required. Professional certification (CA, CA Inter, CPA, ACCA, CMA, or equivalent) preferred.

    • 3–6+ years of hands-on U.S. accounting experience, with demonstrated expertise maintaining accrual-basis books under U.S. GAAP.

    • Proven experience managing full-cycle monthly closes, balance sheet reconciliations, multi-entity accounting, and intercompany eliminations.

    • Advanced proficiency in QuickBooks Online (QBO) and Microsoft Excel (advanced formula modeling, PivotTables, SUMIFS, XLOOKUP).

    • Direct experience preparing audit support workpapers, fixed asset/depreciation schedules, and accrual-to-cash tax conversion workpapers.

    • Demonstrated familiarity with U.S. payroll journal entries, employer tax liabilities, and benefits accounting.

    • Excellent written and verbal English communication skills with the confidence to collaborate directly with U.S. finance leadership, auditors, and external tax advisors.

    • Preferred: Prior experience in multi-location U.S. healthcare or clinical services, CBO medical revenue reconciliations, and familiarity with UKG, Bill.com, or eClinicalWorks.

  • Application Requirement:

    • Please submit your résumé detailing the U.S. companies you have supported, the monthly-close workflows you personally owned, and your specific experience with payroll reconciliations and multi-entity consolidations (do not include confidential client, patient, or employee data).

  • Schedule Requirements:

    • Ability to work Eastern Time (ET) hours, 8:00 AM to 5:00 PM, Monday through Friday, including applicable company holidays.

  • Technical Requirements:

    • Reliable wired internet connection (100 Mbps minimum).

    • Computer/laptop with Intel Core i5 or Ryzen 5 processor, 8GB RAM minimum, and 128GB free storage.

    • Dual-screen setup preferred for enhanced productivity.

    • Operating system: Windows 10 or macOS (latest version).

    • Clear webcam (1080p or higher resolution) and microphone for communication.

    • Secure, private workspace compliant with healthcare remote-work security requirements, prohibiting local downloads, printing, or screen capture of patient/client financial data.

    • Backup systems for electricity and internet outages.

Benefits:

  • Fully Remote Work: Work from the comfort of your home in a dedicated, secure environment.

  • Comprehensive Onboarding: Structured 1-on-1 training and mentorship in healthcare financial practices and operational systems.
