The role will establish operating standards, monitor property-manager performance, coordinate property accounting and technology initiatives, and support acquisition onboarding and asset dispositions. The objective is a scalable operating infrastructure that enables Asset Management professionals to focus on leasing, asset strategy, capital allocation, and investment performance.
Role & Responsibilities:
Third-Party Property Management Oversight
- Serve as the primary operational point of contact for CBRE and other third-party property-management providers.
- Establish and monitor performance standards, reporting requirements, service expectations, and accountability.
- Conduct regular reviews of property-manager staffing, service delivery, financial processes, and unresolved issues.
- Oversee compliance with management agreements, operating procedures, and delegated authorities; escalate and resolve issues with regional Asset Management teams.
- Identify opportunities to improve service quality, standardize vendor practices, and reduce operating expenses.
Property Accounting and Financial Operations
- Partner with BGRE Finance, FP&A, and property managers to improve property-level financial reporting accuracy, timeliness, and consistency.
- Coordinate accounts payable, accounts receivable, tenant billing, expense recoveries, reconciliations, and monthly close workflows.
- Establish responsibilities and escalation procedures for accounting exceptions while Finance retains accounting-policy, control, and reporting ownership.
- Support property budgeting, operating-expense reviews, variance analysis, and corrective action on recurring inefficiencies.
Operational Standards and Best Practices
- Develop consistent procedures for preventative maintenance, inspections, service contracts, vendor oversight, and tenant responsiveness.
- Coordinate property-level risk management, emergency preparedness, life safety, environmental compliance, and business continuity.
- Work with regional Asset Management on deferred maintenance, operational risks, and cost-saving opportunities.
- Share best practices across regions while accommodating market-specific and asset-specific requirements.
Acquisition Onboarding and Disposition Support
- Coordinate operating transitions for acquisitions, including property management, vendor contracts, tenant information, accounting data, and records.
- Maintain standardized transition checklists, clear ownership, and coordination with Asset Management, Finance, Legal, and Technology.
- Support disposition readiness through documentation, contract review, operating reconciliations, and resolution of outstanding property matters.
- Reduce operational disruption, accounting discrepancies, and avoidable post-closing obligations.
Technology, Data, and Process Improvement
- Coordinate with BGRE Technology and Finance on Yardi, VTS, and related property-management platforms.
- Improve consistency of operating data, reporting, documentation, access controls, and record retention.
- Identify automation and Al opportunities in lease administration, document management, reporting, and operational review.
- Develop practical dashboards and performance indicators for property-management providers.
Tenant Service and Cross-Functional Coordination
- Monitor tenant-service standards and help resolve significant service issues and operational disputes.
- Coordinate with Legal and Risk Management on insurance, claims, incidents, and compliance.
- Align property operations with regional asset business plans while preserving regional Asset Management decision rights.
- Provide regular updates to Asset Management leadership on provider performance, risks, and unresolved issues.
Your Qualifications:
- 20+ years of commercial real estate experience, including substantial property operations or property-management responsibility.
- Experience with geographically diversified portfolios; industrial and logistics experience preferred.
- Demonstrated success managing third-party property managers and driving accountability.
- Strong knowledge of property accounting, budgeting, tenant billing, expense recoveries, and financial reporting.
- Familiarity with Yardi or comparable systems and experience with acquisitions, transitions, and process improvement.
- Strong communication, analytical, organizational, and cross-functional leadership skills; relevant bachelor's degree preferred.
Measures of Success:
- More accurate and timely property-level financial reporting and fewer recurring accounting exceptions.
- Measurable improvement in third-party property-manager performance and tenant service.
