We’re looking for a ServiceNow Coordinator / Facility Coordinator to help drive seamless facility operations across multiple geographically dispersed sites. If you enjoy solving problems, managing competing priorities, and using facility management technology to create smarter, more efficient operations, we want to hear from you! 🎯 Your Impact As our ServiceNow Coordinator / Facility Coordinator, you’ll serve as an important connection point between site teams, vendors, customers, and operations leadership. You’ll help ensure services are delivered efficiently, accurately, on time, and in accordance with established operating guidelines. You’ll support daily operations while helping teams stay ahead of maintenance needs, financial processes, compliance requirements, and critical service requests. 💻 What You’ll Do Create, edit, review, and track purchase orders and work orders Help coordinate facility activities and service requests across multiple sites Monitor and approve invoices in Inspyrus Track purchase orders against corresponding work orders Update POs to support accurate invoice processing and cost-center allocation Monitor preventive maintenance schedules in partnership with site teams Ensure urgent maintenance requests are dispatched according to priority guidelines Coordinate vendors and assist with inquiries, reconciliation, and payment issues Maintain clear communication with customers, alliance partners, vendors, and operations managers Support KPI tracking and operational compliance Develop and maintain detailed schedules for projects and administrative activities Coordinate across multiple operational disciplines to keep projects and services moving Support weekly payroll-related processing and administrative tasks Assist with emergency preparedness planning and FMS compliance Deliver responsive, solutions-focused support when priorities shift ⭐ What You Bring We’re looking for someone who combines facilities knowledge, technical confidence, attention to detail, and outstanding customer service. Ideal Experience 5+ years of facility management experience Experience working with facility management software / work order management systems Strong technology and systems aptitude; ServiceNow experience is highly valuable Advanced proficiency with Microsoft Outlook, Excel, and Word Excellent customer service and stakeholder-management skills Experience working with budgets, purchase orders, invoices, and vendors Ability to read and understand standard business documentation, including contract language Strong written and verbal communication skills Excellent organizational and team-building abilities Proven ability to manage multiple projects and competing priorities simultaneously Ability to perform effectively under tight timelines Collaborative, team-oriented approach with a commitment to quality Ability to travel approximately 5% 🔑 You'll Thrive Here If You Are... Final compensation will be determined based on experience and skills and may vary from the above range.
