About the Role: The Specialist, Amazon Operations manages the day-to-day order flow and operational support activities across Amazon Vendor Central and Seller Central. This role covers the full order lifecycle from purchase order acknowledgment through ASN submission, shipment coordination, and invoice validation, with a focus on keeping orders moving accurately and on time across all Amazon programs. The Specialist resolves routine order, carrier, and compliance exceptions, monitors system order flow and carrier performance, supports end-of-month operational activities, and serves as a dependable, detail-oriented resource for Amazon order operations. Essential Functions: - Monitor and manage the open order queue within Amazon Vendor Central and Seller Central daily, reviewing purchase order status and identifying unacknowledged, stalled, or at-risk orders. - Determine and execute the appropriate corrective action for at-risk, stalled, or exception orders (re-submission, routing correction, priority re-sequencing). - Monitor end-to-end system order flow across the full processing chain to confirm orders are moving as expected from receipt through fulfillment and ASN closure; identify and resolve transmission errors, EDI failures, routing exceptions, and order insertions needed for failed documents. - Execute the Amazon DC order process including PO acknowledgment, shipment routing to Amazon fulfillment centers, ASN submission, and label and packaging compliance; monitor delivery window requirements and manage exceptions to prevent chargebacks and protect vendor performance metrics. - Track carrier pickup schedules and carrier performance for Amazon shipments, monitoring first scan activity and identifying pickup or delivery issues that may affect on-time shipment metrics; coordinate and negotiate directly with logistics providers and carriers to resolve issues promptly. - Monitor Amazon vendor and seller performance metrics (on-time shipment rate, fill rate, cancellation rate), determining which accounts or shipments require intervention and selecting the appropriate corrective response. - Support backorder management, end-of-month order push activities, and warehouse coordination including early ship date releases and diversions; communicate backorder status and expected availability within Amazon's required windows. - Maintain accurate records across Amazon portals and internal systems; pull curated daily and ad hoc reports to support order monitoring and management reporting needs; identify and correct data quality issues or portal discrepancies. - Work internally across teams to resolve ongoing or new processing concerns and ensure accounts can rely on automation logic. - Represent Ubique directly with Amazon through cases and direct contacts, and participate in Amazon-facing meetings with key stakeholders on metrics, reporting, and areas of concern and opportunity. - Ensure inventory feeds are accurate and support Alias-level inventory controls in coordination with the Account Manager's direction. - Provide weekend coverage for Amazon orders with expected ship dates (ExSD) that fall on the weekend. - Attend in-office Amazon meetings where an operational professional is required, generally twice per calendar year. Qualifications: - 1–3 years of experience in order management, e-commerce operations, or a related role; hands-on experience working within Amazon Vendor Central or Seller Central strongly preferred. - Working knowledge of Amazon order operations including PO acknowledgment, ASN submission, delivery window compliance, and label and packaging requirements; understanding of how Amazon vendor scorecards are measured and what affects account standing. - Familiarity with EDI transaction processes and the ability to identify and resolve common order transmission errors, acknowledgment failures, and ASN discrepancies; experience coordinating resolution with IT or third-party providers preferred. - Strong attention to detail and organizational skills; able to manage a high volume of open orders and active cases simultaneously, exercise sound independent judgment on prioritization, and maintain accurate records. - Clear communicator with a proactive approach to order status updates and issue resolution; able to coordinate and negotiate across internal teams and external partners to resolve issues quickly. - High school diploma or equivalent required; associate's or bachelor's degree in Business, Supply Chain, or a related field a plus.
