Signature Field Follow-up Assistant

Office Administration · Forms Follow-up · Remote
Full-time or part-time | £26.00–£28.00 hourly

Follow up on the one step that has not been completed

An online form can contain all the requested information and still remain unfinished because the required signature or confirmation action was not completed. The Signature Field Follow-up Assistant identifies those cases from an assigned queue and sends the approved instruction for completing that step. This is remote office administration with a written customer service element. You would not sign for anyone, alter a submitted declaration or decide whether an alternative form of consent is legally acceptable.

Your task starts with the system’s status, not a guess based on the appearance of a document. You would check that the record is the correct one, see which specific action is outstanding and use the employer’s guidance to contact the person who can complete it. If the system shows a completed signature, you should not send a reminder merely because an older notification remains in your inbox. If a person reports that the online signing link fails, note the problem and refer it through the approved support route.

A reminder should be precise

The person needs to understand which form is affected and what action remains, without being told that their whole application has been rejected. A clear message can include the approved link or instruction and a way to raise a problem. It should not threaten an unverified consequence or invent a deadline. The team will supply the appropriate wording, including any information about accessibility or alternative routes that it has approved.

Some forms may have several people who need to complete a step. You would check which person is outstanding according to the system and contact only the intended recipient. A later reply might say the person already completed the action; you would recheck the record rather than insist they do it again. If the statuses conflict, your note should say what the system shows and what the person reported, leaving resolution to the authorised colleague.

A reminder also needs to point to the current version of the form. If the sender was issued a new link after an earlier attempt failed, you would use the authorised replacement rather than repeat the original instruction. Keep the response tied to the same form record so a colleague can see the sequence of attempts. The role is to remove a routine obstacle, not to pressure a person into confirming a declaration they have questions about. Such questions should be directed to the appropriate team.

Routine responsibilities could include:

  • Review assigned forms marked as awaiting a signature or confirmation.
  • Check the form reference and intended signer before contacting anyone.
  • Use the approved online instruction or link for the outstanding step.
  • Record that a reminder was sent through the designated channel.
  • Recheck the status after a response or completion notification.
  • Note a failed link, wrong recipient or disputed status for support.
  • Keep the form pending until the required action is actually recorded.

The work has a narrow scope but calls for care with personal details and wording. A signature can have consequences, so you should never imply that you have verified a person’s identity beyond what the employer’s process allows. You are helping them reach the correct step and keeping the administrative record current. The employer will teach its forms platform and which questions must be referred to another team.

Related office administrative or customer service experience is welcome but not required. A newcomer who can use online forms, compare names and references, and write a courteous reminder may be well suited. We welcome applicants with little formal experience and train on the company workflow. You should be willing to pause when the record and the person’s message disagree. The job does not require legal expertise or authority to accept a declaration.

Remote work means the queue and notes must make sense to colleagues who are elsewhere. A home office area suitable for focused online work can help you avoid confusing similar forms. The position may be full-time or part-time, with pay of £26.00–£28.00 per hour.

Apply

On your CV, show any experience following up on an incomplete step or helping someone use a form. It can come from a different kind of workplace, study or a community activity. A specific e-signature platform is not a prerequisite. If you’re selected for the next step, you may be asked to complete an application on the hiring company’s website. The company can describe its particular follow-up process as the selection moves ahead.
