Signature Return Assistant

Remote | Office Administration | Signature Returns

Full-time • 54,080–57,200 per year

A document is ready for a customer or staff member to sign, and the team needs to know whether it was sent, opened, and returned. The Signature Return Assistant maintains that administrative trail in an approved online system. This remote role does not explain legal terms, witness signatures, or decide whether a signed document is enforceable. It makes the right version visible to the qualified reviewer.

A private home office or similarly suitable setting supports confidential files. The hiring company will confirm its tools and schedule.

From sent to received

Before sending a standard document, check the assigned recipient and approved version. The employer may use an electronic signature system or a secure portal. Follow its process rather than emailing a file through an unapproved channel. When a signed copy arrives, match it to the correct record and note that it has been received for review. Do not mark the underlying agreement approved simply because a signature appears on a page.

A recipient may ask where to sign, say the link expired, or request a different format. Use the standard guidance or refer the question to the document owner. A reminder should be sent only according to the approved timing. If a replacement version is issued, stop using the old request and record the change. This is customer service in the form of clear, courteous instructions and office administration in the form of accurate statuses.

Core tasks

  • Review assigned standard documents awaiting signature.
  • Confirm recipient and version before sending through the approved system.
  • Track sent, pending, returned, and review-needed statuses.
  • Send permitted reminders or link instructions.
  • Match a returned file to the correct online record.
  • Flag an expired link, missing page, or wrong recipient.
  • Route document-content questions to authorized staff.
  • Keep private files within the designated system.

No legal or contract background is required. Earlier practice with written support or recordkeeping can help, and the employer will teach its document flow. You should be comfortable with online forms, dates, and careful recipient checks. If a document does not match the checklist, you will ask rather than quietly treating it as complete.

A recipient may sign the wrong version after a revision was issued. Do not discard that file or assume it can replace the current one. Record what arrived and alert the owner to decide the next step. Similarly, a document can show a signature but lack another required page. The reviewer, not the assistant, determines whether it is acceptable. If several recipients must sign, track each person's status separately rather than marking the whole file complete after one response.

The employer may provide a standard reminder interval. Check the record immediately before sending one so a recent signature is not overlooked. If a recipient asks to change the signer, pause and send the request to the document owner for authorization. You should be able to explain where a document stands without revealing it to someone who is not permitted to see it. A clean record distinguishes delivery, signature, and review.

The work may involve a simple status report to the document owner: how many requests are pending, which links failed, and which returned documents await review. Do not include a full copy of a private document in a broad summary. If the signature platform sends an automatic notice, check whether a manual message is still necessary. A record of an automated send should not be mistaken for the person's signature. Keeping those stages separate prevents an important document from being overlooked.

A document can be opened without being signed, or signed by one person when two signatures are needed. Check the assigned completion fields, the correct version and the return status before closing a tracking item. If an electronic link expires, send the issue through the approved renewal process rather than attaching an old copy to a general email. Record a declined signature or a requested change without interpreting the agreement. The requester should be able to see what remains outstanding and whether a signer needs a new instruction.

Application details

Describe an instance where you kept track of a document or followed up respectfully on an outstanding item. It can come from work, school, or volunteering. A particular signature platform is not a prerequisite. The hiring team may send advancing candidates instructions to apply on the company’s website. The document team will explain its processes at the next stage.
