Social Media Content & Marketing Virtual Assistant

About the Client

An SEO and digital marketing professional who helps automotive and ecommerce brands improve their online visibility, connect with their target audiences, and drive measurable business growth.

Her work focuses on strategic SEO, website architecture, technical SEO, search visibility, AI search optimization, and improving how websites support customer buying behavior and revenue generation.

Ivy works with businesses that already have marketing teams but need deeper SEO expertise to identify opportunities, overcome technical limitations, and turn organic search performance into meaningful business results.

She is looking for a creative, reliable, and collaborative Virtual Assistant who can support her social media content efforts, maintain a consistent brand presence, and free up her time to focus on client work and business growth.

Position Overview

The Social Media Content & Marketing Virtual Assistant will support the client's content creation and publishing activities, primarily for LinkedIn and Instagram.

The ideal candidate enjoys writing, creating simple and engaging visual content, and helping a business communicate its expertise online. This person should be comfortable working from established brand guidelines, content instructions, and templates while also bringing fresh ideas and creative suggestions to the table.

The initial focus will be on producing and publishing approximately 2–3 social media posts per week, or 8–12 posts per month. The role may gradually expand to include light email marketing support, project coordination, and assistance with online workshops or training sessions as needed.

This is a hands-on execution role, with an emphasis on content quality, consistency, organization, and collaboration.

Key Responsibilities

1. Social Media Content Creation and Publishing

  • Create, prepare, and schedule approximately 2–3 social media posts per week (8–12 posts per month).
  • Support the client's company LinkedIn page and Instagram account.
  • Develop content based on the client's instructions, content ideas, business information, and established brand guidelines.
  • Write clear, engaging, and audience-appropriate captions that reflect the client's expertise in SEO, AI search, ecommerce, automotive marketing, and digital growth.
  • Repurpose existing ideas, quotes, educational insights, and other client-provided materials into social media content.
  • Organize content into a manageable posting schedule or content calendar.
  • Ensure posts are proofread, visually consistent, and ready for the client's review or approval before publishing, as agreed.
  • Schedule and publish approved content using the client's preferred scheduling tools.
  • Monitor assigned content tasks and ensure posts are completed and published by the agreed deadlines.

2. Canva Graphic Design and Visual Content

  • Create simple, clean, and engaging graphics using Canva.
  • Work with existing templates, brand assets, stock images, quotes, and client-provided materials.
  • Design visual content such as quote cards, educational graphics, simple promotional posts, and other brand-aligned social media assets.
  • Follow the client's visual direction and brand guidelines, including typography, layout, image selection, and color guidelines once finalized.
  • Adapt existing designs into different formats when needed for LinkedIn and Instagram.
  • Use AI-generated visuals selectively when appropriate, while prioritizing simple, authentic, and relevant graphics.
  • Maintain an organized library of design files and reusable templates.

Important: The client prefers simple, practical designs over elaborate graphics. The VA should be able to execute straightforward designs independently without overcomplicating the creative process.

3. Content Writing and Brand Alignment

  • Follow the client's existing brand documentation, writing style guidelines, business overview, and audience profiles.
  • Create content that speaks to the client's primary and secondary audiences.
  • Help communicate complex SEO and digital marketing concepts in a clear, approachable, and engaging manner.
  • Maintain consistency in tone, messaging, and positioning across social media channels.
  • Review content for grammar, clarity, accuracy, and alignment with the client's instructions.
  • Suggest content angles, hooks, and creative approaches that may improve engagement and communicate the client's expertise.
  • Use AI writing tools responsibly when helpful, ensuring all content is reviewed, refined, and aligned with the client's brand voice.

The VA is not expected to independently develop advanced SEO strategies or make technical SEO recommendations. The primary responsibility is to translate the client's ideas and direction into well-written, visually appealing content.

4. Social Media Scheduling and Task Management

  • Use the client's project management platform, ClickUp, to receive assignments, manage content tasks, and track deadlines.
  • Keep task statuses, due dates, and deliverables updated.
  • Organize drafts, Canva links, captions, and other content assets within the appropriate projects or tasks.
  • Communicate progress, questions, and potential delays through ClickUp, with email as a secondary communication channel.
  • Follow established workflows and request clarification when instructions are unclear.
  • Maintain an organized and proactive approach to recurring content tasks.

5. Light Email Marketing Support (As Needed)

Depending on workload, priorities, and the client's instructions, the VA may provide basic assistance with the client's email marketing platform, Omnisend.

Potential tasks include:

  • Preparing and formatting email content based on the client's instructions.
  • Uploading or organizing approved copy and visual assets.
  • Assisting with basic email campaign setup and scheduling.
  • Checking links, formatting, and content before a campaign is sent.
  • Supporting occasional promotional or educational email campaigns.

The client does not currently send a high volume of emails, so email marketing is a secondary responsibility rather than the primary focus of the role.

6. Online Workshop and Webinar Support (Occasional)

The client may host future live training sessions, workshops, or educational events, including a potential Google Business Profile Bootcamp planned for January, subject to confirmation.

When needed, the VA may assist with:

  • Preparing and organizing AI prompts or other simple resources for participants.
  • Supporting basic event preparation and administrative coordination.
  • Serving as a virtual session moderator during live workshops.
  • Helping monitor the session and keeping activities on schedule.
  • Assisting with participant resources and follow-up email preparation, as instructed.
  • Supporting additional email communications associated with workshop registration or attendance.

These tasks will be occasional and scheduled in advance. Live-session availability and timing will be coordinated with the client.

7. General Marketing Assistance

As the working relationship develops, the VA may assist with other straightforward marketing tasks within their skills and agreed working hours, including:

  • Repurposing existing content for different platforms or formats.
  • Organizing content resources and marketing assets.
  • Assisting with basic content-related administrative tasks.
  • Providing light support for email marketing and campaign preparation.
  • Suggesting workflow improvements and practical ways to make content production more efficient.

Any substantial changes in responsibilities, workload, or required expertise will be discussed and agreed upon with the client.

Required Skills and Qualifications

  • Strong written English, including grammar, spelling, clarity, and attention to detail.
  • Experience creating or supporting social media content for a business, brand, or professional service provider.
  • Basic to intermediate Canva skills, including the ability to create simple graphics and work with templates.
  • Familiarity with LinkedIn and Instagram content formats and publishing practices.
  • Ability to follow brand guidelines and adapt writing to a specific audience and tone.
  • Good organizational and time-management skills.
  • Ability to manage recurring assignments, deadlines, and multiple content assets.
  • Willingness to learn new tools and follow the client's existing processes.
  • Basic familiarity with project management software such as ClickUp, or the ability to learn it quickly.
  • A proactive, collaborative, and solutions-oriented mindset.
  • Ability to work independently while knowing when to ask questions or request feedback.

Preferred Skills

These are advantageous but are not strict requirements:

  • Experience with ClickUp or similar project management platforms.
  • Familiarity with content scheduling tools, including Hopper or the client's preferred scheduler.
  • Exposure to email marketing platforms such as Omnisend.
  • Basic video editing or short-form video content preparation.
  • Experience using AI tools for content ideation, drafting, or visual asset development.
  • Familiarity with digital marketing, SEO, ecommerce, automotive marketing, or other B2B professional services.
  • Experience supporting webinars, online workshops, or virtual events.

Advanced SEO expertise, lead generation, sales outreach, inbox management, and personal LinkedIn engagement management are not required for this role.

Personality and Work Style

The client is looking for someone who is:

  • Collaborative: Enjoys working together, sharing ideas, and communicating openly.
  • Creative: Can suggest fresh content angles and practical improvements rather than simply following instructions mechanically.
  • Fun and personable: Brings a positive attitude and enjoys a friendly, engaging working relationship.
  • Proactive: Willing to suggest alternatives when a different approach may work better.
  • Adaptable: Comfortable learning new tools and adjusting to evolving priorities.
  • Organized and dependable: Takes ownership of assigned tasks and meets deadlines.
  • Receptive to feedback: Willing to refine content and designs based on the client's preferences.

The client appreciates someone who can say, “I understand what we're trying to accomplish. What if we tried this approach instead?” while remaining respectful of her direction and final decisions.

Tools and Platforms

The VA may use the following tools, depending on the client's existing workflow:

  • Canva: Graphic design and visual content creation.
  • ClickUp: Project management, task tracking, and communication.
  • LinkedIn: Company-page content preparation and publishing.
  • Instagram: Content preparation and publishing.
  • Hopper or the client's preferred scheduler: Scheduling and managing social media posts.
  • Omnisend: Basic email marketing support.
  • AI tools: Optional assistance with ideation, drafting, and visual content when appropriate.

The client is comfortable training the VA on her tools and processes. Prior expertise in every platform is not required.

Working Hours and Schedule

  • Minimum commitment of 10 hours per week.
  • Flexible working hours, provided all agreed deliverables are completed by the deadlines set according to the client's Eastern Time zone.
  • The client is open to expanding the workload if recurring social media tasks alone do not fully utilize the minimum weekly hours.
  • Additional tasks may include light email marketing, content repurposing, marketing support, and occasional workshop assistance.
  • Any live events requiring real-time support will be coordinated in advance.

Initial Deliverables and Priorities

During onboarding, the VA will be expected to:

  1. Review the client's business overview, brand documentation, writing guidelines, and target audience information.
  2. Familiarize themselves with the client's existing social media content, Canva assets, and preferred design style.
  3. Learn the client's ClickUp workflow and content scheduling process.
  4. Help establish a manageable content calendar for 2–3 posts per week.
  5. Prepare initial content drafts and simple Canva graphics for review.
  6. Incorporate feedback and refine the content creation workflow.
  7. Identify opportunities to make recurring content production more efficient.

The client will provide direction, reference materials, and templates where available. The VA is expected to become increasingly independent as they become familiar with the brand.

Performance Expectations

Success in this role will be measured by:

  • Consistent delivery of the agreed social media content volume.
  • Content quality and alignment with the client's brand voice and audience.
  • Clear, accurate, and engaging writing.
  • Simple, professional, and brand-consistent visual designs.
  • Timely completion of tasks and adherence to deadlines.
  • Effective organization and communication through ClickUp.
  • Responsiveness to feedback and improvement over time.
  • Thoughtful suggestions that contribute to a more efficient and effective content workflow.

Ideal Candidate Summary

The ideal candidate is a content-focused Virtual Assistant who combines strong writing skills, basic Canva design ability, reliable task management, and a positive, collaborative personality. They should enjoy helping a marketing professional turn existing expertise and ideas into consistent, engaging social media content while remaining flexible enough to support occasional email marketing and online workshop tasks.

The priority is not to hire a senior SEO strategist or a full-service social media manager. It is to find a dependable, creative execution partner who can help the client maintain a consistent online presence and free up time for higher-value work.
