About KIPP NorCal

We are a thriving nonprofit network of 23 free, public charter schools open to all students. At KIPP, we believe all children should grow up free to create the future they want for themselves and that schools can and should be a critical factor in making that vision a reality. Together with families and communities, we create joyful, academically excellent schools that prepare students with the skills and confidence to pursue the paths they choose—college, career, and beyond—so they can lead fulfilling lives and build a more just world.

Our student community consists of nearly 7,000 elementary, middle, and high school students in East Palo Alto, Oakland, San Francisco, San Lorenzo, San José, Redwood City, and Stockton. 81% qualify for free or reduced price lunch, 34% are multilingual learners, and 12% have special needs. We strive to cultivate a representative team of teachers and leaders that reflect our students’ diversity.

Role Overview

The Special Education IEP Case Manager manages the development, implementation, and compliance of Individualized Education Programs (IEPs) for a caseload of approximately 60–70 students across TK–12, ensuring students with disabilities receive individualized educational services and supports aligned to their needs. Reporting to the Associate Director of Special Education, this role coordinates with families, educators, school leaders, and service providers to ensure timely IEP processes, meaningful student progress, and equitable access to high-quality educational opportunities.

In this role, you own projects end-to-end with real autonomy over how the work gets done. You make day-to-day execution decisions and bring your manager in when something would change the project's direction or require resources beyond your scope.

Note: This role has and end date of June 30, 2027.

Core Responsibilities

IEP Case Management and Implementation

  • Manages a caseload of approximately 60–70 students across TK–12, ensuring IEP development, annual reviews, reevaluations, and related processes are completed accurately and within required timelines.

  • Leads the development and coordination of individualized education plans, ensuring goals, accommodations, modifications, and services reflect students' documented needs and support meaningful educational progress.

  • Coordinates IEP implementation with general education teachers, special education staff, and related service providers to promote consistent delivery of individualized supports across learning environments.

Student Evaluation and Progress Monitoring

  • Executes comprehensive academic assessments for initial eligibility determinations and reevaluations, producing accurate, timely evaluation results that inform eligibility decisions and individualized educational planning.

  • Develops measurable annual IEP goals in collaboration with educators, service providers, and families, ensuring goals reflect students' academic, behavioral, and social-emotional needs.

  • Manages student progress monitoring and data analysis processes, ensuring IEP teams and families receive meaningful information about student growth and can make informed instructional adjustments.

IEP Compliance and Documentation

  • Manages assigned IEP compliance timelines, documentation requirements, and case management workflows to ensure adherence to applicable federal and California special education requirements.

  • Maintains accurate and complete student special education records, including evaluations, IEP documents, progress reports, parent signatures, and related documentation, ensuring records remain current and audit-ready.

  • Leads IEP meetings when serving in an authorized capacity as an LEA Administrator designee or Education Specialist, ensuring appropriate stakeholder participation, procedural compliance, and clear documentation of decisions.

Family, School, and Service Provider Collaboration

  • Coordinates communication among families, students, teachers, school leaders, and related service providers to strengthen shared understanding of student needs, IEP goals, and service implementation.

  • Develops collaborative working relationships with general education teachers and service providers to promote appropriate accommodations, instructional differentiation, and modifications aligned with students' IEPs.

  • Implements improvements to assigned case management workflows based on student progress data, stakeholder feedback, and identified process gaps, increasing consistency and effectiveness within the established special education model.

Other duties as assigned.
