Dover Business Services [is an independent business unit that] empowers OpCo growth by providing best-in-class operations expertise and services to increase capacity, improve control and reduce costs. In the future, we will also provide analytics, strategic services and leverage advanced technologies. This enables OpCos to focus on customer business activity and growth strategies. DBS supports Dover’s Operating Companies through the processing of select financial and transactional processes and provides HR and IT support. DBS operates shared service centres in China, North America, the Philippines and Scotland.

Scope

• Manages travel supplier relationships for NA, EMEA and APAC, excluding China.

• Covers the hotel, air, car rental, and travel management company (TMC) programs.

• Hotel RFP, reporting, and program analysis cover Dover’s global travel program.

Essential Responsibilities:

Travel Spend Analysis

· Extract and refresh travel spend data monthly from Concur, TMC reports, and SDP by supplier, OpCo, country, and period.

· Map spend to hotel, air, and car rental sub-categories, and classify it as preferred vs. non-preferred and on-contract vs. off-contract.

· Produce travel spend summaries for Sourcing Project Manager and DGS review.

Sourcing Events & Market Analysis

• Lead the annual Hotel RFP with the RFP partner and DGS, including guidance and recommendations on the hotel property list.

• Map booking markets against the Dover site list to identify sites without a preferred property and candidates for the static hotel program.

• Compare contracted rates against market benchmarks ahead of renewals, and support DGS on air, car rental, and TMC sourcing events.

Contract Compliance & Rate Audit

• Audit hotel rates paid against contracted rates at preferred properties and calculate missed savings.

• Review ancillary charges (e.g., Wi-Fi, parking, breakfast) against contracted inclusions and flag leakage.

• Verify that contracted benefits are applied, including rate codes, insurance waivers, and loyalty program attachment (e.g., Enterprise, Hertz).

• Log billing mismatches and contract deviations, follow up with suppliers on recovery, and track each item to resolution.

Program Compliance & Risk Monitoring

• Flag bookings made outside the TMC, with non-preferred suppliers, or outside travel policy rules such as lowest logical fare and days advance purchase.

• Categorize exception reasons and maintain an exception log with status and resolution tracking.

• Provide weekly exception flags and a monthly risk summary to the Sourcing Project Manager, with escalation to DGS when thresholds are breached.

Performance Reporting

• Maintain the travel KPI set: preferred supplier usage, average daily rate, booking channel compliance, and savings realized vs. leakage.

• Prepare the monthly travel scorecard by category and OpCo for Sourcing Project Manager review and sign-off before DGS touchpoints.

• Prepare reporting for quarterly DGS program reviews, supplier meetings, and OpCo requests, and maintain a historical tracker for trend analysis.

Program Optimization & Improvement

• Identify, size, and recommend savings and cost avoidance opportunities, such as travel policy rule changes, online booking adoption, mileage vs. rental, rental fuel options, preferred air routes, and baggage and Wi-Fi fees.

• Identify root causes of recurring exceptions and document improvement opportunities with supporting data.

• Track implementation of approved improvements and validate results through follow-up monitoring.

Supplier Relationship Management

• Serve as day-to-day contact for travel suppliers in NA, EMEA and APAC (excluding China), including the TMC (currently CWT, part of Amex GBT).

• Prepare supplier meeting materials, monitor service and SLA performance, and escalate unresolved issues to the Sourcing Project Manager and DGS.

• Manage verification and confirmation requests related to EHI car rental insurance claims and travel insurance for travelers.

• Manage supplier promotions in line with Dover’s Code of Ethical Conduct, including its rules on gifts and hospitality.

Policy, Communications & Travel Site

• Draft updates to the travel sections of the T&E policy and route them for required leadership approvals.

• Own email and system communications to travelers on supplier, program, and policy changes, including supplier promotions.

• Maintain the Travel SharePoint site, including the static hotel program, air, car rental, and FAQs, so content stays current and relevant.

• Coordinate with the T&E team (Concur, online booking tool, and ServiceNow traveler support) and Accounts Payable on travel billing matters.

Documentation & Governance

• Maintain audit-ready documentation of RFP recommendations, rate audits, exception logs, and savings calculations.

• Handle negotiated rates, supplier contracts, and traveler personal data in line with Dover confidentiality requirements

• Participate in special projects and continuous improvement initiatives as assigned.

Education and Experience

  • Bachelor’s degree in Engineering (Industrial Engineering preferred) or related field.
  • Minimum 3 to 4 years of relevant experience in purchasing or sourcing, with a background in administrative and compliance roles
  • Business travel management experience is a plus.
  • Strong analytical skills with advanced Microsoft Excel (e.g., pivot tables, lookups, charts) and PowerPoint.
  • Experience with SAP Concur, TMC reporting, Power BI, Smartsheet, or ServiceNow is an advantage.
  • Demonstrated proficiency managing data and content in Microsoft SharePoint.
  • Experience coordinating with suppliers or external partners.
  • Excellent written and verbal communication skills.
  • Willingness to work EMEA, North America, or global time frames as needed.

Preferred Qualifications
