Specialist, Global Vendor Management

We are seeking a detail-oriented and collaborative professional to serve as Vendor Onboarding and Procurement Specialist within Global Vendor Management. This role supports the day-to-day vendor lifecycle—onboarding, maintenance, and offboarding—helping ensure requests are processed efficiently, accurately, and in line with Kroll's procurement, risk, and governance requirements. The Specialist will work closely with business units and firm services, including Finance, Accounts Payable, Information Security, Privacy, Legal, Technology, Risk, and Sourcing. The ideal candidate combines strong operational discipline, analytical thinking, attention to detail, and a client-service mindset, with the ability to triage requests, coordinate stakeholders, and resolve issues in a fast-moving environment. Experience in a financial, advisory, procurement, or technology environment is preferred.

The day-to-day responsibilities include but are not limited to:

Operations & Vendor Onboarding

  • Process vendor onboarding, vendor maintenance, and offboarding requests in accordance with established Procurement procedures and ServiceNow workflows.

  • Review requests for completeness and accuracy, identify missing or inconsistent information, and coordinate with requesters to obtain the required details or documentation.

  • Coordinate required handoffs and approvals across Procurement, Finance, Accounts Payable, Legal, Information Security, Privacy, Technology, Risk, and Sourcing.

  • Maintain accurate vendor records, documentation, status updates, and supporting information in procurement and vendor-management systems.

  • Provide timely updates to business stakeholders and help resolve routine onboarding issues and exceptions.

  • Assess the vendor’s scope and engagement with Kroll at intake and determine, using established guidance, whether review or involvement is required from Information Security, Privacy, Risk, Compliance, Legal, Technology, Procurement, or other control functions.

  • Identify hypercare and time-sensitive onboarding requests, proactively provide regular status updates, and act as a liaison across internal teams and vendors to remove blockers and accelerate resolution.

  • Recognize when Procurement involvement is required and engage the business team with targeted questions to clarify sourcing, commercial, purchasing, or contractual requirements before progressing the request.

  • Perform basic technical profile scoping for technology-related vendor engagements, capturing key information such as solution type, hosting/deployment model, connectivity or integration, access requirements, data exchange, and user population to help technical teams ask the right follow-up questions.

Process Optimization & Reporting

  • Adapt to changing procurement and vendor onboarding processes, coordinate within the team and with external stakeholders, and proactively identify, investigate, and help resolve operational issues.

  • Support improvements to vendor workflows, forms, controls, and operational processes to improve efficiency, accuracy, and scalability.

  • Triage vendor requests using established guidance, recognize issues that require escalation, and route complex matters to the appropriate team.

  • Support Accounts Payable and Tax-related vendor process improvements, including data quality, vendor setup, and issue resolution; knowledge of tax, tariff, or customs is a plus.

  • Maintain dashboards, trackers, reports, SLAs, and KPIs to monitor workload, aging, bottlenecks, and service performance.

  • Use data and recurring issues to identify opportunities for continuous improvement.

Cross-Functional Collaboration

  • Build effective working relationships with business units and internal partners across Finance, Legal, Technology, Information Security, Privacy, Risk, Sourcing, Purchasing, and Operations.

  • Coordinate smooth handoffs between teams and help ensure vendor requests move forward with clear ownership, documentation, and next steps.

  • Support acquisition-related vendor transitions, business changes, and other vendor migration activities as required.

  • Assist with RFP, audit, reporting, and governance activities by gathering vendor information and maintaining accurate records.

  • Provide responsive, professional support to stakeholders and escalate issues when service levels, risk, or business impact warrant additional attention.

Risk, Compliance & Quality

  • Apply established vendor governance, risk, and regulatory requirements when processing vendor requests.

  • Help ensure vendor records and documentation meet applicable Procurement and vendor-governance standards.

  • Support periodic review of vendor information and help track outstanding actions, issues, and remediation items.

  • Identify control, data-quality, or process gaps and raise them to the appropriate stakeholder for resolution.

Essential traits:

  • Bachelor's degree (BA/BS) preferred, with approximately three to six years of experience in vendor management, procurement operations, accounts payable, source-to-pay, or a related operational function.

  • Ability to work and collaborate during US Eastern Time (ET) hours to align with global stakeholders and business needs.

  • Practical experience supporting process adoption, operational change, or workflow improvements.

  • Strong cross-functional collaboration, communication, and stakeholder-management skills.

  • Experience partnering with Finance, Legal, Risk, Sourcing, Accounts Payable, Technology, or other internal control functions.

  • Experience working with procurement systems, ServiceNow or similar workflow tools, and vendor-management platforms.

  • Working knowledge of source-to-pay processes, vendor onboarding, vendor data management, and procurement controls.

  • Ability to triage requests, identify issues, and escalate matters appropriately while maintaining timely service.

  • Comfortable interpreting operational data, reports, aging, SLAs, and KPIs to support informed decisions.

  • Highly proactive, self-directed, and able to manage multiple priorities while meeting deadlines.

  • Detail oriented and organized, with a strong focus on accuracy, documentation, and accountability.

  • Collaborative, dependable, professional, and values-driven approach to work.

  • Comfortable operating in ambiguity within an evolving procurement function.

  • Adaptable and resilient, with the ability to maintain a strategic perspective while handling day-to-day operational demands.

  • Ability to understand a vendor’s scope and engagement with Kroll and apply established criteria to identify when Information Security, Privacy, Risk, Compliance, Legal, Technology, or Procurement review may be required.

  • Strong issue-management and coordination skills, including the ability to identify hypercare needs, provide proactive status updates, and act as a liaison to drive timely resolution across multiple stakeholders.

  • Ability to adapt to changing processes, ask effective questions of business teams, and work collaboratively across functions to identify and resolve operational issues.

  • Basic understanding of technology scoping concepts, including SaaS/cloud versus on-premises deployment, system connectivity, integrations, user/access requirements, and data flows, with the ability to document an initial technical profile for specialist review.

  • Experience supporting acquisition integrations, business transitions, or global vendor changes is preferred but not required.

  • Experience in financial, advisory, or technology environments is preferred.
