Our client runs one of the fastest-growing conferences in AI infrastructure. It brings together operators, energy providers, technology leaders and investors for multiple days of content, networking and a large expo hall. We are looking for a Sponsor Operations Manager to own the day-to-day delivery of sponsor and exhibitor commitments. This is a hands-on, detail-driven role at the heart of making sure sponsors get exactly what they purchased.
Key responsibilities include:
- Serve as the main logistics contact for a portfolio of 150+ sponsors and exhibitors, from contract through onsite execution
- Manage sponsored activations, working with show management, sponsors and vendors on planning, setup and onsite delivery
- Lead sponsored restaurant experiences, including a flagship Founders Dinner, covering venue coordination, guest logistics and onsite oversight
- Research, select and coordinate main stage and sponsored entertainment acts
- Manage sponsor signage, including specs, approvals, production timelines and installation
- Research new sponsorship opportunities, including swag, and bring cost-conscious recommendations to leadership
- Maintain trackers and reports for deliverables, deadlines, vendor costs and post-event results
We are looking for someone with the following experience:
- 3+ years in event, conference, trade show or sponsorship operations
- Experience managing multiple vendors, deadlines and stakeholders at once
- Strong organizational skills and attention to detail across a large portfolio
- Advanced Excel and/or Google Sheets skills for trackers, budgets and reports
- Experience with F&B, hospitality, hosted dinners or entertainment booking is a strong plus
- Familiarity with signage production, ExpoFP or project management tools (e.g. Asana, Monday, Smartsheet) is beneficial
- Willingness to travel (10–15%) and work extended hours onsite
This role would suit a highly organized sponsorship or event operations professional who thrives on juggling many moving parts and wants to own high-profile sponsor experiences at a fast-growing event.
If this sounds like you then we’d love to connect!
