Staffing Support Coordinator
Remote Opportunity | US Client
We are looking for a reliable, highly organized, and personable Administrative & Staffing Support Coordinator to support the Recruiting/HR and Intake teams of a growing US-based healthcare services organization.
This role is ideal for someone who enjoys working in a fast-paced environment, is excellent at following up, communicating with people, keeping information organized, and making sure administrative and staffing processes run smoothly.
You will work closely with internal team members, employees, applicants, clients, and families, helping to coordinate staffing and intake activities while providing professional and responsive administrative support.
Key Responsibilities
- Provide day-to-day administrative support to the Recruiting/HR and Intake teams.
- Assist with recruitment, onboarding, scheduling, and staffing coordination.
- Follow up with candidates and employees regarding outstanding information, documents, appointments, and onboarding requirements.
- Support the client intake process by organizing client information, documentation, communications, and follow-ups.
- Communicate professionally with employees, applicants, clients, and families via email, phone, and other communication channels.
- Send reminders, updates, and follow-ups to ensure tasks are completed on time.
- Maintain accurate and up-to-date employee and client records.
- Assist with data entry, document preparation, reporting, and administrative tracking.
- Monitor outstanding tasks and proactively follow up to keep staffing and intake processes moving.
- Assist with scheduling and coordinating appointments, meetings, interviews, and other activities.
- Support the team with general administrative and operational tasks as required.
- Handle sensitive employee and client information with professionalism and confidentiality.
- Work collaboratively with the team while also being able to manage tasks independently.
Requirements
- Previous experience in administration, HR, recruitment, staffing, healthcare administration, intake coordination, or a similar role.
- Strong organizational and time-management skills.
- Excellent written and verbal English communication skills.
- Professional, friendly, and confident communication style.
- Strong attention to detail and excellent follow-through.
- Comfortable communicating with employees, candidates, clients, and families.
- Ability to manage multiple priorities and meet deadlines.
- Strong computer literacy and confidence learning new systems and software.
- Good data-entry and record-keeping skills.
- Ability to work independently and take initiative.
- High level of professionalism and discretion when handling confidential information.
Ideal Candidate

A candidate with experience in US healthcare, staffing/recruitment, HR administration, medical administration, client intake, or family services would be highly advantageous.
