Supply Chain Analyst
About the Role
We are a jewellery and accessories brand with a growing e-commerce and retail presence. We're looking for a Supply Chain Analyst to keep our product in stock and moving. You will own the flow of inventory from purchase order to warehouse shelf — placing POs with suppliers, managing inbound shipments, reconciling invoices, and building the reporting that tells the team what we have, what is coming, and where we are at risk of stocking out.
This is a hands-on role that sits between our suppliers, our warehouse partner, and our finance and e-commerce teams. You will work daily in Shopify, Looker, and Sage, and you will be the go-to person for accurate, up-to-date inventory information.
Work Structure & Requirements
- Location: Remote / Virtual
- Schedule: Full-time
- Time Zone: EST business hours
- Compensation: $8 USD per hour
Key Responsibilities
1. Purchasing & Supplier Management
- Place purchase orders with suppliers based on demand, current stock, and lead times
- Track and manage inbound delivery dates, following up with suppliers to keep shipments on schedule
- Flag delays or supply risks early and work with the team on solutions
2. Item Master & New Product Setup
- Own and maintain the item master, keeping SKU data accurate and consistent across Shopify, Sage, and warehouse systems
- Set up UPCs and all required product information for new launch products at the time of ordering
- Ensure new items are fully set up before their first PO is placed and inbounded
- Partner with product development to get SKUs approved in time for PO placement
3. Inbound & Warehouse Operations
- Create and upload Advance Shipping Notices (ASNs) to our warehouse partner for every inbound shipment
- Manage the receiving process end-to-end, from arrival through receipt confirmation
- Resolve discrepancies between what was ordered, shipped, and received
4. Invoice Reconciliation
- Review all supplier invoices and match them against purchase orders and receipts
- Approve accurate invoices for payment and route exceptions to finance with clear context
5. Inventory Reporting & Analysis
- Build and maintain reporting in Looker, Shopify, and Sage to give the team a clear view of inventory health
- Analyse stockouts to understand root causes and recommend changes to prevent them
- Maintain daily reporting on inbound shipments and inventory levels
- Communicate inventory status, risks, and changes proactively to stakeholders across the business
6. Process Improvement & Automation
- Drive efficiency by using AI tools to automate manual processes across purchasing, receiving, invoicing, and reporting
Required Skills & Experience
- Experience: 3+ years in supply chain, inventory, purchasing, or operations — ideally in e-commerce or consumer products
- Systems: Experience using ERP systems required; Shopify, Looker, and Sage (or similar e-commerce, BI, and accounting tools) strongly preferred
- Purchasing: Hands-on experience placing POs and managing inbound shipments with suppliers and a 3PL or warehouse
- Data: Strong Excel or Google Sheets skills including pivot tables, lookups, and recurring reports; comfortable reconciling data across systems and identifying discrepancies
- Communication: Clear, proactive communication with suppliers, warehouse partners, and internal teams
- Attention to Detail: Able to manage multiple shipments and deadlines simultaneously with high accuracy
Nice to Have
- Experience with Airtable and SKU setup
- Familiarity with ASNs, receiving workflows, and three-way matching (PO, receipt, invoice)
- Experience with demand forecasting or reorder-point planning
- Experience working on an ERP implementation project
- Bachelor's degree in supply chain, business, finance, or a related field
