About the Role
We are seeking an experienced, hands-on Supply Chain and Purchasing Manager to take ownership of purchasing, Chinese factory coordination, production scheduling, inventory planning, quality control and international freight.
The successful candidate will personally manage purchase orders from placement through production, inspection and shipment. They must have substantial direct experience communicating with factories in China and be confident identifying problems, recommending commercially practical solutions and making day-to-day decisions independently within agreed company processes and approval limits.
This is not a purchasing administration or logistics-coordination role. It requires someone who can take genuine ownership of product availability, factory performance, inventory risk and international deliveries while reporting remotely to an Australian company director.
This is a hands-on, fast-paced role suited to someone who is highly organised, commercially minded and comfortable managing multiple priorities independently.
Key Responsibilities
- Manage relationships with multiple factories and suppliers in China.
- Coordinate purchase orders directly with Chinese factories, from initial order placement through production, quality control and shipment.
- Monitor production schedules and proactively identify and resolve delays, shortages or manufacturing issues.
- Purchase components, packaging and finished products according to business requirements.
- Maintain clear and professional communication with factories in English.
- Manage purchase orders, ensuring quantities, pricing, specifications, delivery dates and payment terms are accurate.
- Negotiate pricing, production terms, lead times and commercial arrangements with suppliers.
- Monitor supplier performance and implement corrective actions where required.
- Maintain optimal stock levels across multiple warehouses and sales channels.
- Prepare inventory forecasts and purchasing plans based on sales data, lead times, seasonality and promotional activity.
- Identify potential stock shortages, excess stock and slow-moving inventory.
- Develop strategies to reduce overstocks and improve inventory turnover.
- Coordinate international shipping, freight forwarding, customs documentation and delivery schedules.
- Work with freight forwarders, warehouses and logistics providers to ensure goods are delivered accurately and on time.
- Ensure logistics and warehousing arrangements provide strong commercial value.
- Maintain and update product specifications, production guides, packaging requirements and quality-control documentation.
- Coordinate inspections and ensure factories meet required quality standards.
- Implement and maintain purchasing, forecasting and inventory-management systems.
- Analyse inventory, supplier, freight and purchasing data using Excel and other business systems.
- Create, document and continually improve internal supply-chain processes and procedures.
- Identify and mitigate production, supplier, inventory and logistics risks.
- Collaborate with management, sales, marketing, customer service and other internal stakeholders to support business requirements.
About You
To be successful in this role, you should have:
- Demonstrated experience placing and coordinating orders directly with multiple factories in China.
- Strong experience managing purchase orders, production schedules, factory communication and international shipments.
- Excellent written and spoken English.
- The ability to communicate clearly and professionally with Australian management, international suppliers and service providers.
- Strong negotiation and supplier-management skills.
- Solid knowledge of purchasing, procurement, inventory management and demand forecasting.
- Experience using inventory-management, purchasing or ERP software.
- Advanced Excel skills and confidence working with data.
- Excellent analytical and problem-solving skills.
- The ability to interpret data and develop practical, commercially focused solutions.
