About the Role
We are seeking an organized, detail-oriented Surgical Coordinator & Patient Scheduler to oversee end-to-end surgical scheduling and patient coordination.
In this role, you will be the central operational link between patients, surgical facilities, and our clinical team. You will communicate procedure details directly to patients, manage required surgical documentation, follow up on outstanding pre-operative requirements, and maintain an optimized, conflict-free surgical calendar.
Key Responsibilities
1. Surgical Scheduling & Calendar Management
- Coordinate and schedule surgical procedures across providers, operating rooms, and surgical centers.
- Align surgeon availability, facility block times, and patient preferences to keep the surgical schedule organized and fully optimized.
2. Patient Communication & Procedure Guidance
- Communicate directly with patients via phone and email regarding upcoming surgical procedures, arrival times, and facility guidelines.
- Walk patients through procedure expectations, answer logistical questions, and provide clear pre-operative instructions.
3. Surgical Documentation & Pre-Op Requirements
- Collect, verify, and organize all necessary surgical documentation, including consent forms, physician orders, and clearance notes.
- Proactively track and follow up on outstanding surgical requirements (e.g., lab work, cardiac/medical clearances, imaging) to prevent procedure delays or cancellations.
4. Clinical Team & Facility Coordination
- Maintain continuous communication with physicians, clinical staff, and surgical facility schedulers to resolve conflicts and update schedule changes in real time.
- Ensure all clinical notes, surgical packets, and required materials are finalized and accessible to the care team well before the surgery date.
Qualifications & Requirements
- Experience: 2+ years of medical scheduling experience, with direct background in surgical coordination and procedure management.
- Workflow Expertise: Solid understanding of surgical clearance processes, pre-op document tracking, and facility block scheduling.
- Communication: Clear, professional, and empathetic verbal and written English skills for patient and provider interactions.
- Technical Proficiency: Experience managing Electronic Health Record (EHR/EMR) systems, digital calendars, and cloud communication platforms.
- Organization: Exceptional multi-tasking skills and attention to detail to track multiple patient requirement lists simultaneously without missing deadlines.
